General

Our client is a Specialty Contractor focused on planning, designing, and creating corporate, health, and learning spaces. Their in-house expertise spans design, prefab construction, furniture, fixtures & equipment, and technical services. Their customers seek them out as their single point of contact for designing and executing interior projects throughout Kentucky, Southern Indiana, and Tennessee.

Core Responsibilities

Service Net Inbound & Outbound Coordination & Management:
  • Primary Contact: Act as the main point of contact for nationwide Service Net dealers and other dealers requiring intermarket project management, installation, and delivery.
  • Communication: Ensure effective communication with internal teams, external network managers, facilities or building management, general contractors (GCs), and subcontractors.

Inbound Coordination:
  • RFQs: Respond to project Requests for Quotation (RFQs).
  • Estimates: Provide labor estimates for dealer approval and input approved estimates into the system.
  • Job Site Verification: Verify job site details and coordinate project delivery and installation.
  • Project Oversight: Manage projects to completion, ensuring all necessary information is received and reviewed weekly for backlog maintenance.
  • Customer Sign-offs: Obtain Proof of Delivery (POD) and manage the punch list process if necessary.
  • Billing and Collections: Initiate project billing and handle accounts receivable, including collection efforts.
  • Payables: Approve subcontractor payables as needed.

Outbound Coordination:
  • Internal Requests: Respond to internal requests for project delivery and installation outside of the designated territory.
  • RFQs for External Projects: Complete RFQs and forward them to servicing dealers.
  • Liaison Role: Act as the liaison between servicing dealers and the internal sales team, managing projects to completion and involving project management as necessary.
  • Project Information: Provide servicing dealers with all relevant project information and coordinate details with the internal Project Coordinator to ensure accuracy in billing and payables approval.

Operations Support:
  • Backup Scheduling: Provide backup scheduling and assistance as required.
  • Internal Processes: Familiarize oneself with internal scheduling systems and processes.
  • Vendor Matrix: Gain knowledge of all subcontractors and various project types.
  • Project Labor Quotes: Develop proficiency in generating project labor quotes and obtaining Statements of Work (SoW) from sales or project management teams.

Qualifications
  • Full-time position based in Louisville, KY.
  • Requires a high degree of customer service and attention to detail.
  • Must thrive in a fast-paced environment with the ability to multitask and coordinate several projects simultaneously.
  • Excellent written and oral communication skills are essential.
  • Experience in project coordination and order entry is preferred.
