Program Advisor Support Specialist

We're looking for a proactive, energetic Program Advisor Support Specialist to work closely with our clients as well as other members of the Strategic Coach team. The successful candidate will have strong organizational, time management, and administrative skills.

You'll be responsible for:

1. Providing Client Support
  • Contact clients via phone and email to reschedule their missed workshops.
  • Respond to client requests.
  • Send bulk email correspondence.
  • Confirm clients' attendance prior to workshops.
  • Organize logistics for client dinners.
  • Send additional materials, invoices, receipts, location details, and renewal applications.

2. Providing Program Advisor Support
  • Schedule calls for the Program Advisors and their clients.
  • Manage and organize the Program Advisors weekly schedules.
  • Enter notes into the database.
  • Support Program Advisors with workshop and call preparation.
  • Support Program Advisors with Salesforce reports and views.
  • Prepare different written correspondence for Program Advisor Team and for clients.
  • Back-up reception coverage.
  • Other duties as required.

3. Providing Workshop Support
  • Observe workshops to gain an understanding of the Program concepts and tools to assist with client questions.
  • Welcome clients by greeting them on workshop days, and enhance client relationships.
  • Ability to travel up to one week a quarter.

  • You have 2+ years' experience in a customer service position.
  • You're confident, responsive, and take initiative to make things happen.
  • You work independently and take charge of your own responsibilities.
  • You maintain a high level of activity while managing multiple priorities.
  • You know how to communicate clearly and present yourself professionally to clients and fellow team members.
  • You have a strong entrepreneurial spirit-you embrace new opportunities and thrive in a constantly evolving and creative environment.
  • You know how to communicate clearly and effectively with all types of people.
  • You're warm, friendly, adaptable, energetic, and fun to work with.
  • You can handle multiple requests, prioritize, and respond quickly.
