How you'll help:

Mon Ami Real Estate is seeking a proactive and adaptable Executive Assistant to support our Founder and Managing Partner. The successful candidate will play a pivotal role in ensuring the executive's day-to-day operations run smoothly, including managing calendars, coordinating travel arrangements, and handling personal tasks as needed. This dynamic position requires a confident self-started who is not afraid to take control while anticipating needs, thinking critically, and offering solutions to problems before they arise.

Responsibilities:
  • Proactively manage the executive's calendar, including scheduling appointments, coordinating meetings, making travel arrangements, and some management of personal calendar.
  • Draft and manage email correspondence, prioritizing incoming messages and protecting the executive's time.
  • Drive the executive to and from local meetings, enabling work to be conducted en route.
  • Act as a liaison and gatekeeper between the executive and internal/external stakeholders, screening and prioritizing inquiries and requests and ensuring effective communication and follow-up.
  • Assist with preparation for meetings, including gathering materials, conducting research, and presentation design.
  • Attend internal and external meetings as requested, take notes, and coordinate follow-ups accordingly.
  • Anticipate the executive's needs in advance of meetings, travel, etc.
  • Establish and maintain SOP documentation, assisting with updates and improvements.
  • Implement systems to enhance efficiency and productivity in the executive's workflow.
  • Provide personal assistance to the executive, including calendaring, errands, and planning.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Provide support with various administrative tasks and special projects as assigned.
  • Adapt to changing priorities and manage multiple tasks efficiently.
  • Maintain physical and digital filing systems, implementing best practices for organization.
  • Occasional travel to Mon Ami's Chicago office or other meetings with the executive.

Qualifications:
  • Previous experience as an Executive Assistant or in a similar role.
  • Excellent communication and interpersonal skills.
  • Extremely detail-oriented with amazing organizational skills
  • Ability to work independently and proactively.
  • Google Workspace and Microsoft Suite proficient
  • Valid driver's license and clean driving record.
  • Feel confident and comfortable driving the executive to and from meetings so they may work en route.
  • Clean Background Check and Driving Record ( MVR)

Preferred Qualifications:
  • experience as an Executive Assistant, preferably supporting C-level executives.
  • Bachelor's degree preferred.
  • You have traveled consistently with your leaders previously.

Job Type: Full-time

Pay: $60,000.00 - $80,000.00 per year
