Position Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support office operations. The ideal candidate will manage various organizational and communication tasks, working independently and prioritizing tasks with minimal supervision.
Responsibilities:
Greet and assist visitors professionally
Answer and direct phone calls courteously and efficiently
Manage and organize office documents, files, and records
Schedule appointments and maintain calendars
Coordinate meetings and conferences, including bookings, equipment setup, and catering
Sort and prepare medical records, analyze documents for destination, and ensure quality in scanned reproduction
Perform quality checks on scanned documents using extensive knowledge of medical record forms
Assist in preparing reports, presentations, and other documents
Handle incoming and outgoing correspondence, including mail and email
Perform data entry and maintain databases accurately
Assist with travel arrangements and accommodations for staff
Order office supplies and maintain inventory levels
Assist in the onboarding process for new employees
Support special projects and events as assigned
Requirements:
Proven experience as an administrative assistant or in a relevant role
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Excellent written and verbal communication skills
Strong organizational and time management skills
Ability to multitask and prioritize effectively
Attention to detail and accuracy
Discretion and confidentiality in handling sensitive information
High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary is a plus
