Job Summary: We are looking for a detail-oriented and organized individual to fill the role of Accounting & Office Coordinator. This full-time position is responsible for managing the day-to-day accounting transactions, assisting with contract paperwork, and providing administrative support to ensure the efficient operation of our office. The ideal candidate will have a strong background in bookkeeping or accounting, exceptional organizational skills, the ability to multitask effectively, and enjoy problem-solving. This position requires a proactive individual who can handle a variety of tasks simultaneously, from financial oversight to administrative support and project coordination.
The responsibilities of this position include but are not limited to:
Accounting:
Perform daily/monthly accounts payable and receivable duties.
Receive payments for topsoil sales, invoice customers, and manage the cash box.
Process invoices and payments in a timely manner.
Reconcile bank and credit card statements.
Maintain accurate and organized records.
Assist project managers and Office Manager to complete monthly invoicing.
Manage accounts receivable aging reports and follow up on late payments.
Assist with month-close processes.
Contract Paperwork and Management:
Assist project managers to prepare, review, and manage contract paperwork for projects.
Manage and coordinate timely project closeout with project manager, subcontractors, suppliers, and owners.
Work with Office Manager to complete all prevailing wage reporting and maintain compliance throughout the project.
Office Administration:
Greet visitors and clients in a professional and friendly manner.
Sort mail, receive packages and manage the front office.
Order office supplies and maintain inventory.
Maintain and organize physical and digital files and records, including project files, contracts, and financial documents.
Keep kitchen and shared office areas clean and tidy.
General Support:
Assist with various administrative tasks as needed to support the office and production team.
Collaborate with other team members to ensure efficient operation of the business.
Handle confidential information with discretion and professionalism.
Qualifications:
Proven experience as an office administrator, bookkeeper, or a similar role, preferably in construction or a related industry.
Proficiency in accounting software and MS Office Suite.
Strong understanding of accounting principles and practices.
Excellent organizational and time management skills.
Attention to detail and accuracy in data entry and record-keeping.
Ability to work independently and prioritize tasks effectively.
Excellent communication and interpersonal skills.
Preferred Skills:
Experience with construction contract management processes is highly desirable.
Experience with and knowledge of prevailing wage compliance and processes.
In-depth knowledge of OneDrive, Excel, and general computer/IT support.
Experience with Foundation Accounting Software for construction is a plus.
