SUMMARY


The MGH Institute of Health Professions is currently seeking a dynamic and dedicated individual to fill the role of Admissions Engagement Coordinator (AEC). This pivotal position is designed for a highly motivated professional who is passionate about student engagement, admissions processes, and fostering a welcoming environment for prospective students. The Admissions Engagement Coordinator (AEC) guides prospective students through their decision-making process to invest in their future and enroll at the MGH Institute of Health Professions. Under the supervision of the Associate Director, this position performs a pivotal role in enrollment services by supporting lead engagement through multiple communication channels. The Admissions Engagement Coordinator will contact, and nurture inquiries generated through enrollment marketing and referral efforts, schedule appointments for prospective students with the admissions team, and support outreach at in-person and virtual recruitment events and interactions with college advisors.  The role will develop positive and engaging relationships with prospective students through relational approaches, seeking to understand their personal and professional goals, and direct them to relevant academic programs.  The role will implement lead nurturing strategies that support prospective student engagement and inform them about the Institute’s academic programs through personal interactions, digital campaigns (e.g., text, email), webinars, in-person events, and other methods.



DUTIES / RESPONSIBILITIES


Admissions Engagement (75%)



  • Act as first point of contact and program specialist for all leads and prospective students. 

  • Identify and execute strategies to engage uncontacted leads to qualify and connect them with the admissions team. 

  • Monitor and manage inquiries for the Institute on all chat and social media platforms.

  • Engage prospective students via multiple channels to support enrollment goals.

  • Counsel prospective students on Institute programs and courses based on stated career goals.

  • Collaborate with the admissions and enrollment marketing teams to develop compelling and relevant content for lead engagement efforts.

  • Document engagement efforts using the assigned tools and systems.


Recruitment (20%)


  • Assist in the execution of internal and external recruitment events, including open houses, webinars, “meet and greets,” and other events.

  • Track prospective students and report on performance of recruitment and engagement activities.

  • Responsible for other reasonable related duties as assigned for recruitment and outreach purposes.

  • Maintain an advanced working knowledge of Institute programs, policies, processes, and admissions requirements as well as major competitors. Participate in team meetings by informing discussions related to trends within recruitment.

  • Other Duties (5%)


  • Perform other related duties incidental to the work described herein.


  • WORK CONDITIONS



    • Fast-paced office environment, Work is performed under stress during peak periods of activity, deadlines, meetings, high traffic, and frequent interruptions. 

    • This position is designed as a hybrid position and may periodically have variable hours, due to events held during evenings or weekends. 

    • The percent of time spent on campus versus remote may vary based on department needs, but generally 2-3 days on campus with the remaining days remote per week.



    TRAINING



    • One-month intense training.  4-6 months’ experience moving through various admissions cycles.





    Qualifications


    QUALIFICATIONS



    • Bachelor’s degree is required.

    • Minimum of 2 years related work experience is preferred.

    • Proficiency with technology tools used in enrollment marketing and admissions is preferred. 

    • Prior experience in a university or college setting is preferred.

    • Strong interpersonal communication skills (including public speaking skills).

    • Excellent organization, attention to detail, and good follow-through skills.

    • Excellent track record in team building and working in a cross-functional area.

    • Strong commitment to quality work and customer service.

    • Ability to take initiative and work independently.

    • Strong computer skills with standard software, such as Microsoft® Word, Excel, Outlook, and PowerPoint.

    • Experience working with a CRM for reporting and communications management (e.g., HubSpot, Salesforce, Centralized Application Services).
