Job Description:


Job Purpose:


This position serves the students and the community by providing a friendly and timely information desk for the College. The position responsibilities include serving as an assistant to the Communications Department for operations and website updates, and as the first voice of the college for phone and other communications inquiries.




Essential Functions:



  1. Assists the Communications Department with support in maintaining and updating the college's websites, including www.ColumbiaState.edu, myChargerNet, and other digital channels.

  2. Maintains and updates college web calendar with college activities and events.

  3. Coordinates with the Office of Human Resources and Communications to ensure that the employee directory is timely and current with employee information and photo.

  4. Reviews website pages for accuracy in information and/or coordination of needed review with department offices.

  5. Designs slides and posts updates, in concert with other campus personnel of responsibility, the college's digital signage system.

  6. Reviews, maintains and updates the college's automated voice system directory for the college. This includes monitoring campus-wide phone greetings and voicemail usage.

  7. Assists students and community by answering questions and/or routing telephone calls to proper individuals and departments with follow-up as appropriate.

  8. Monitors telephone call volume and develops reports that outline call volume by week and month for submission to supervisor, the Office of Institutional Research and others as designated.

  9. Studies and becomes familiar with college personnel, programs and services for the purpose of directing students and visitors to the appropriate office for effective and efficient service.

  10. Serves as college receptionist for directing students and visitors to appropriate areas.

  11. Performs office assistance responsibilities for the Department of Communications.




Supplemental Functions:




  1. Logs and tracks projects in the Communications Office project management system.

  2. Clips and archives news articles for Communications Office.

  3. Creates purchase requisitions for Communications Office.

  4. Assists Communications Office with calendar scheduling and coordinating for meetings.

  5. Other duties as assigned.




Job Specifications:




Education, Training and Experience Required:



  1. High School Diploma or equivalent and 5 years experience related to the position requirements


or



  1. Associate Degree and 2 years experience related to the position requirements

  2. Skills developed through training or personal experience for monitoring and/or maintenance of digital media.




Education, Training and Experience Preferred:



  1. Telephone techniques training or receptionist experience.

  2. Experience in a college setting.





Knowledge, Skills, Abilities and Work Characteristics:





  1. Outstanding ability to communicate via telephone or in person that demonstrates a culture of caring and personal assistance.

  2. Ability to communicate effectively in written and spoken English.

  3. Ability to operate a computerized phone system.

  4. Ability to speak in a clear and distinct voice.

  5. Ability to perform clerical tasks in a Microsoft Office Suite PC environment.

  6. Knowledge of current office practices, procedures and equipment.

  7. Ability to work with all populations in an environment that is caring and respectful of the backgrounds and/or choices of others.

  8. Ability to work as a team member.

  9. Task oriented.

  10. Ability to work with diverse customer service needs.

  11. Committed to the value of higher education.





Working Conditions:




  1. Work 37.5 hours per week with the flexibility to work overtime during peak periods.

  2. Sitting and typing.

  3. Walking, standing, and filing.

  4. Some lifting and reaching (to place boxes on shelves).

  5. Some bending.

  6. Visual and hand usage of PC.




Hiring Salary Range: $35,200-$42,200



This position is based at the Columbia, TN Campus.
