The Interdepartmental Administrator is a full-time position that will provide assistance to administrative staff across the organization, supporting the finance, community investment and development departments during peak time periods. This position will report to the Vice President, Marketing & Communications. This role will be responsible for ongoing administrative tasks in the Finance Department, and will provide administrative backup for the organization as a whole as needed.

The Interdepartmental Administrator is a mature, organized and detail-oriented professional. This person works well in a team environment but is also a self-starter. The best candidate for the position is resourceful, a quick learner and excels at meeting deadlines. They are able to prioritize their work and have the ability to juggle multiple projects, while also looking for ways to streamline duties when possible. Ability to maintain highly confidential information is a must.
Key Responsibilities:
Serve as day-to-day administrative support for the Finance Department, assisting with: accounts payable; statement mailings; pledge reports and mailings; monthly and quarterly reports; audit process as needed; and basic account reconciliation
Serve as administrative support personnel for foundation events.
Assist other administrative personnel with the grantmaking process during peak times
Assist other administrative personnel with contributions during peak times
Assist other administrative personnel with the scholarship process during peak times
Maintain record retention process and keep files up-to-date
Become an expert user of the gifts, grants and donor management software system, akoyaGO.
Other administrative tasks as needed.
Education & Experience
3-5 years of administrative experience
Excellent interpersonal skills
Exceptional written and verbal communication
Ability to shift gears quickly and keep projects moving
Strong Microsoft Office proficiency
Experience with akoyaGO or other database management systems preferred
Ability to quickly learn and adapt to new programs and software as needed
