Anchored Psychiatric Nursing Services was started in 2018 and is located in Santa Ana, CA. Over the last 6 years in business, Anchored has continuously been growing and we are now in need of an Office Manager to be the anchor of the clinic.
We are currently seeking a skilled Office Manager to oversee the daily operations of our outpatient psychiatric/mental health clinic. The ideal candidate would have experience in administrative management and/or leadership roles, that is meticulous, pays close attention to details, manages time wisely, communicative, self-motivated, brings ideas to the table, and has great customer service skills. Responsibilities
Oversee daily operations to ensure smooth and efficient practice functioning.
Manage appointment scheduling and patient inquiries, including clinician schedules.
Deliver exceptional customer service through support, reflective listening, conflict resolution, and compassion to patients and their families.
Implement and ensure compliance with office policies, health regulations, and safety standards.
Manage the office budget, maintain inventory, and order supplies as needed.
Maintain patient records and adhere to HIPAA and confidentiality requirements.
Manage electronic health record (EHR) systems and other administrative software.
Supervise administrative staff and conduct training and development programs.
Handle staff scheduling and communicate with payroll.
Coordinate with billing specialists and oversee accounts receivable and payable.
Process credit card payments and respond to email inquiries.
Scan documents into the EHR software.
Collaborate with clinical staff to ensure cohesive operations.
Stay up-to-date with healthcare regulatory requirements.
Ensure clinic compliance with all relevant laws, regulations, and industry standards.
Qualifications
Self-motivated, intelligent, and empathetic individual with excellent written and verbal communication skills. Must be calm, caring, and excel in a team atmosphere.
Strong customer service skills with an exceptional in-person and phone presence, capable of delivering superior service to all potential patients.
Previous experience working in a healthcare office is required.
Experience with verifying insurance eligibility is preferred.
Preferably, experience as an office or department manager/lead or with multiple aspects of healthcare practice management.
Proficient in Microsoft Word, Excel, Google Suite, and strong computer and data entry skills are required.
Ability to multi-task with a high degree of attention to detail and successfully complete tasks.
Must maintain a professional appearance and demeanor and interface well with patients in a mental health setting.
