Sales Administrative Assistant Job Description

A Sales Administrative Assistant will provide comprehensive support to our sales team and executives. The role requires the candidate to be highly organized, possess excellent communication skills, and be able to thrive in a fast-paced environment.

Responsibilities
  • First tier on all inbound main line and sales calls.Analyze and distribute inbound inquiries based on predetermined routing guidelines. Utilize CRM to track and disseminate leads to Loan Consultants.
  • Respond and direct customer inquiries and requests to the appropriate team members or departments.Including social media inquiries and website contact forms.
  • Scheduling and Calendar Management: Schedule and coordinate meetings, appointments, and events for executives and staff, ensuring all logistical details are arranged.
  • Event Planning: Assist in the planning and coordination of corporate events, meetings, and conferences.
  • Document Preparation: Prepare and edit documents, presentations, reports, and other materials for meetings, presentations, or correspondence.
  • Information Management: Organize and maintain files, records, and databases, ensuring easy access to information when needed.Manage and maintain sales-related documents, databases, and records.
  • Office Management: Order, organize, mail, and track promotional items for company and loan consultants. Facilitate appreciation/get well gifts and birthday recognitions for the Sales team.Travel Arrangements: Arrange travel logistics including flights, accommodations, transportation, and itineraries for business trips and conferences.
  • Ad Hoc Support: Provide ad hoc administrative support as needed, special projects, research tasks, and initiatives as assigned.
  • Professional Development: Continuously seek opportunities for professional development to enhance skills and knowledge relevant to the role.
  • Perform other administrative tasks, data input and duties as assigned.

Qualifications
  • They're organized and proactive.
  • Bachelor's degree preferred.
  • Proven experience in an administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
  • Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Exceptional communication and interpersonal skills.
  • Ability to work independently with minimal supervision as well as part of a team.
  • Flexibility to adapt to changing priorities and work schedules.
  • Comply with all company policies and procedures.
  • Previous experience in sales support or customer service would be a plus.
