Job Description: We are looking for a proactive and organized individual to oversee the daily operations. This role offers a unique opportunity to support our team's office and laboratory space. The ideal candidate will excel in a fast-paced, dynamic setting, adeptly handling multiple priorities while maintaining a professional demeanor with all employees. In this pivotal position, you will act as the primary liaison between our company and various service providers, vendors, and consultants. This role demands meticulous attention to detail, strong organizational skills, and the ability to sustain an efficient business environment.

Responsibilities:
  • Oversee the daily operations of the office environment, ensuring a clean and safe workspace for all employees.
  • Welcome and check in visitors and vendors, directing them to the appropriate contacts.
  • Address and troubleshoot office issues, escalating to the relevant teams as necessary.
  • Collaborate with the Facilities team to manage ongoing facilities-related matters, including maintenance requests, office cleanliness, and landlord relations.
  • Coordinate facility services, including office supplies, vendor management, non-lab equipment, space planning, and office expansion projects.
  • Establish and manage relationships with catering providers for weekly lunches and events.
  • Maintain an organized filing system for administrative and office files, ensuring accessibility for team members.
  • Ensure office and operations security by managing the security access database, file keys, access cards, and office keys.
  • Provide human resources support and miscellaneous administrative project assistance as needed, such as overseeing the onboarding of new employees to ensure a positive experience.
  • Sort and distribute incoming mail to the appropriate recipients.
  • Plan and coordinate events as required.

Qualifications:
  • Bachelor's degree preferred.
  • 2-4 years of experience in a life sciences environment preferred.
  • Proficiency in Windows operating systems, Outlook, Word, Excel, and general office equipment.
  • Ability to multitask and prioritize effectively while maintaining high standards of discretion and confidentiality.
  • Excellent communication and interpersonal skills.
  • Flexible, confident, and results-oriented.
  • Capable of working independently with minimal supervision.
