Administrative Assistant Job Responsibilities:
Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
Handle incoming communications, such as phone calls, emails, and mail, and direct them to the appropriate team members.
Prepare and edit documents, reports, and presentations with a high level of accuracy and attention to detail.
Organize and maintain office files, records, and databases, ensuring they are up-to-date and easily accessible.
Assist in the planning and execution of company events, meetings, and other functions.
Manage office supplies inventory and place orders as needed to ensure the office is well-stocked and operational.
Coordinate with vendors, clients, and external partners to facilitate smooth office operations.
Support the marketing team with project management tasks, including tracking deadlines, organizing materials, and ensuring timely completion of projects.
Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
Contribute to a positive and efficient work environment by taking initiative and offering solutions to improve office processes.
Administrative Assistant Qualifications / Skills:
High school diploma or equivalent; an associate or bachelor's degree in business administration or a related field is preferred.
Proven experience as an administrative assistant or in a similar role, preferably in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
Strong written and verbal communication skills.
Ability to work independently as well as part of a team.
