Overview: We are seeking an experienced Administrative Assistant with a background in Asset Management to join our dynamic team. This role is ideal for individuals who thrive in a fast-paced environment, possess exceptional organizational skills, and have a keen eye for detail. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our asset management team, ensuring efficiency and effectiveness in all administrative tasks.
Key Responsibilities:
Administrative Support: Provide comprehensive administrative support to team of Partners, MD's, VP's, analysts/associates, including scheduling meetings, booking travel, managing calendars, and handling correspondence.
Client Interaction: Serve as the primary point of contact for client inquiries and requests, demonstrating professionalism and excellent communication skills in all interactions.
Document Management: Maintain accurate and organized electronic and physical filing systems, ensuring easy retrieval of documents as needed.
Financial Administration: Assist with various financial administrative tasks, such as processing expense reports, tracking budgets, and coordinating payments.
Meeting Coordination: Coordinate logistics for internal and external meetings, including room bookings, audiovisual setup, and catering arrangements.
Travel Arrangements: Arrange travel accommodations for team members, including flights, hotels, and transportation, while adhering to company travel policies.
Reporting and Analysis: Assist in preparing reports and presentations, compiling data, and conducting research as required by the asset management team.
Qualifications:
Bachelor's degree required
Minimum of 1 year of experience in administrative roles within Asset Management is required.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Strong organizational and time management skills, with the ability to prioritize tasks effectively.
Excellent communication and interpersonal skills, with a professional demeanor.
Detail-oriented with a high level of accuracy in all work.
Ability to maintain confidentiality and handle sensitive information with discretion.
