Become a team member of our growing 200+ person company as an Administrative Assistant! Your role will be instrumental in supporting our construction project execution activities. This position is perfect for those who are naturally proactive, excel in both coordination and communication, and can help ensure construction projects progress smoothly and efficiently from an administrative perspective.

In this role, the construction Administrative Assistant will play an essential part in the administrative coordination of our commercial construction projects. You will collaborate closely with project managers, clients, and team members to drive the successful completion of construction projects. Your attention to detail and ability to manage tasks efficiently will be the foundational training you will receive.

Key Duties:

  • Assist with administrative support for the timely delivery of construction projects.
  • Maintain an administrative schedule for various aspects of a construction project.
  • Carry out the Project Manager's directives.
  • Participate in meetings with internal or external project stakeholders.
  • Ensure project documentation and records are accurately filed.
  • Oversee routine correspondence and outgoing communications.
  • Organize and maintain project-related files and records.
  • Offer administrative support to the project team as necessary.
  • Facilitate project close out processes, including distributing warranty and maintenance information.

Qualifications:

  • Ability to focus on detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with Project Management software is a plus.
  • A strong team player capable of working in a collaborative office environment.

Educational and Professional Experience:

  • 1-5+ years in an administrative role, with experience in a commercial construction company of any kind (HVAC, electrical, general contractor, subcontractor, builder, etc).
  • Knowledge of Project Management software, along with MS Office applications.
  • A basic understanding of the construction sector is preferred.
