Job Description:

Reports to: Senior Project Administrator or Director of Office Admin

FLSA Status: Full-Time, Salaried Non-Exempt

Normal Working Hours - Office Hours: 8 am to 5 pm, Monday through Friday

Position Objective: Assist the project teams with administrative paperwork and procedures of the construction process.

ESSENTIAL DUTIES RESPONSIBILITIES:
• Create and process subcontracts, purchase order contracts, subcontract change orders, owner pay applications, etc.
• Perform some project management functions as needed to expedite projects-i.e. processing submittals, managing submittal log, request for information (RFI) log, and architect's supplemental instructions (ASI) log
• Process owner change orders in AIA (American Institute of Architects)
• Process transmittals for all paperwork originating in office
• Organize and maintain project files and databases (Prolog Converge)
• Assist in processing per diems
• Obtain Storm Water Plan (SWPPP) from Civil Engineer - coordinating submittal of notice of intent (NOI) and notice of termination (NOT) to Texas Commission of Environmental Quality (TCEQ) if needed
• Review and track any reports and/or logs required by specifications
• Compile and submit timely monthly pay requests to Architect/Owner - following up with Owner for prompt payment, if needed.
• Coordinate and attend project meetings and final inspections to include generating agenda and meeting minutes for distribution.
• Prepare and submit all required project close-out submittals and warranties, including signed transmittal of acceptance of such items
• Create schedule of values and provide to Architect/Owner for approval for billing
• Assist owners, subcontractors and suppliers to solve daily business problems in a timely manner
• Assist Project Manager in obtaining and processing permits
• Assist Project Manager in creating and distributing owner weekly reports
• Assist Project Manager in setting up temp housing
• Additional duties as required

EDUCATION AND/OR EXPERIENCE:
• High school diploma or equivalent
• One-two years of college preferred
• Industry experience desired, but not required
• First Aid/AED/CPR certification preferred

SKILLS:
• Proficiency in the use of Prolog Converge, Excel, Word, Adobe, Bluebeam, Outlook e-mail, and fax • Ability to manage multiple priorities and projects simultaneously
• Excellent written, verbal, and interpersonal communication skills

PHYSICAL REQUIREMENTS:

Must be capable of remaining in a stationary sitting position, occasionally moving about the office; prolonged standing; occasional lifting (overhead, waist level) from floor; bending/reaching; climbing; balancing; bending; stooping; kneeling; crouching; crawling; handling; feeling; talking; hearing; depth perception; visual accommodation; color vision; field of vision; near acuity; far acuity; and strength. Frequent near vision use for reading and computer use. Ability to lift, move and transport items weighing 20 lbs. During workweek, or as needed, regular drives between jobsites and for meetings with owners, architects, etc.

WORK ENVIRONMENT:

Work primarily in a climate-controlled environment with minimal safety/health hazard potential. Occasionally exposed to noise, dust, heat, and cold. Occasionally work on jobsite with exposure to a variety of extreme conditions: heat, cold, noise, dust, dirt, mud, moving mechanical parts, vibration, fumes, airborne particles, etc.
