Position Summary:

The MSPAS Admissions Coordinator facilitates, supports and monitors all admissions related activities on behalf of the academic program and in coordination with the Program Director, Director of Admissions, and Associate Dean of Graduate Admissions. These activities ensure that quality of a holistic graduate admissions process is maintained in compliance with the program's mission, vision, goals and ARC-PA Standards. The Admissions Coordinator works closely to assist with all aspects of a potential graduate student engagement with North Central College MSPAS program from marketing, application, interview and matriculation.




  • Coordination and implementation of the holistic admissions process (marketing, CASPA review, interview assistance, matriculation and accreditation coordination)

  • Responsible for facilitating students' questions regarding engagement with the CASPA portal, program policies and procedure, and coordination of the admissions cycle both at the graduate (MSPAS Program) and undergraduate level (SIPAAP)

  • Responsible for ensuring admissions related compliance with ARC PA Standards.

  • Maintenance of Admissions Records via CASPA, BOX and EXXAT platform, in compliance with ARC-PA 5th Standards


Description of Key Responsibilities:



  • Maintaining the administrative, academic, service, and scholarship aspects consistent with the mission and philosophy of the academic program

  • Serves as the initial contact person for the admissions office in person telephone, and mail.

  • Analyzes the needs for each individual and follows through accordingly answering questions, providing appropriate forms, or providing a referral to the appropriate person or department.

  • Updates and maintains admissions related website information.

  • Makes frequent presentations to groups of prospective students to inform and educate them regarding the program, financial aid and matriculation requirements, including deposit.

  • Assists the Director of Admissions and Admissions Committee with CASPA screening, data mining, and any other duties as assigned by the Director of Admissions or Program Director.

  • Maintenance of holistic admission information in data bases (CASPA, Box and EXXAT), including student files, matriculation documents and other appropriate clinical information.

  • Assists with direct mail, telephone and email follow-up with student prospects and applicants.

  • Attends meetings, conferences, and workshops to stay updated on issues relating to admissions; attends college meetings and serves on college committees as needed

  • Developing, monitoring, refining and publishing the yearly admissions handbook in collaboration with the Director of Admissions and Program Director.

  • Attends and takes minutes at all admissions related meetings, incompliance with ARC PA Standards.

  • Works closely with college personnel, including faculty, counseling, and student services staff so as to ably communicate, admissions requirements, financial assistance, and other essential information to interested parties.

  • Facilitating quality of admissions events by sending out surveys, data mining those surveys and presenting data to appropriate parties. for students during an admissions cycle.

  • Assists the Director of Admissions in coordinating and implementing all aspects of the admissions cycle, including matriculation documents.

  • Communicating program curriculum, philosophy, objectives, evaluative criteria, policies, procedures, clinical dates, and other pertinent information to prospective students.

  • Serve as a liaison between the students and admissions committee.

Required Knowledge, Skills and Abilities:



  1. Ability to perform administrative functions with a high degree of ethics, integrity and professionalism. This includes the ability to organize, manage and maintain highly confidentiality electronic and written communication, being mindful of sensitive information and FERPA laws.

  2. Articulates an understanding of societal trust placed in the PA profession/medical education and the relationship-based vision of the program.

  3. Ability to continuously demonstrate outstanding interpersonal skills in dealing with faculty, staff, students and with others, both on the telephone and in person. Ability to work cooperatively with others and capacity to work independently

  4. Ability to communicate in the English language, both orally and in writing, with particular emphasis on the ability to produce documents that are attractively and professionally formatted and present proper spelling, grammatical usage and punctuation.

  5. Effectively use the most advanced version of CASPA, EXXAT, word processing, Excel spreadsheet and database software, PowerPoint, administrative computing system and content management system software for webpage development and maintenance. This includes a willingness to explore new technological solutions to office needs and to anticipate new ways of supporting strategic goals.

  6. Ability to manage multiple activities concurrently in a high‐volume environment, to continually monitor their status and to prioritize activities so that deadlines are met and overall office effectiveness is maximized. These characteristics require an individual who is well‐organized, detail oriented and flexible.

  7. Knowledge of the College's mission, organization, operation, performance expectations, and culture, including a strong grasp of the "big picture" and details required of maintaining an accredited program.


Distinguishing Characteristics:

Assist in the performance of administrative support duties to support the admissions and matriculation process of North Central College's MSPAS Physician Assistant students with a high degree of independence and commitment to both the School of Graduate and Professional Studies, School of Education and Health Sciences, and North Central College's MSPAS program's mission, goals and objectives. Assist with all aspects of admissions in collaboration with the MSPAS Program Director and Director of Admissions as needed.


Education/Training:

Bachelors degree or higher, or equivalences through work experiences.


Experience:

Competitive candidates will have had experience in complex academic or corporate administrative environments.
