Job Description


PURPOSE AND SCOPE:


The Executive Assistant to the Executive Vice Chancellor, Operations (EVCO) manages the office of System Office Administrative Services and serves as the initial point of contact for the EVCO. Assumes responsibility without direct supervision, exercises initiative and sound judgment, and makes decisions within the scope of assigned authority. Organizes the office and creates an atmosphere that permits the EVCO to devote the optimum time, attention and focus on activities that best benefit the College. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.







ESSENTIAL JOB FUNCTIONS:


    Completes a broad variety of administrative tasks for the EVCO including, but not limited to: managing an extremely active calendar of appointments; completing expense reports; composing and preparing departmental and system-wide correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings

    Plans, coordinates and ensures the EVCO's schedule is followed and respected; provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the EVCO's time and office

    Communicates directly, and on behalf of the EVCO, internally and externally on matters related to Operations

    Follows up on incoming issues and concerns addressed to the EVCO, including those of a sensitive or confidential nature; determines appropriate course of action

    Provides a bridge for smooth communication between the EVCO's office and internal constituents, demonstrating leadership to maintain credibility, trust and support

    Works closely and effectively with the EVCO to keep well informed of upcoming commitments and responsibilities, following up appropriately

    Successfully completes critical aspects of deliverables with a hands-on approach and facilitates the EVCO to effectively execute designated role and responsibilities

    Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

    Monitors budget expenditures for the Office of the EVCO

    Maintains the department internal and external website

    Develops and/or edits presentations for the EVCO. Includes collecting, coordinating, researching and compiling data from a variety of departments as needed

    Reviews and approves travel authorizations and expense reports for all EVCO direct reports

    Coordinates and/or completes special projects at the direction of the EVCO

    Responsible for other reasonably related duties as assigned

PHYSICAL ABILITIES:


The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.








WORK SCHEDULE AND CONDITIONS:


    Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment.

    Interface with internal and external contacts as needed to carry out the functions of the position.

    Work is performed in a climate-controlled office with minimal exposure to safety hazards.








REQUIRED QUALIFICATIONS:


    Bachelor's degree and at least 3 years of related work experience, or an equivalent combination of education and experience








PREFERRED QUALIFICATIONS:


    At least 5 years of related work experience

    Experience in higher education, especially at a community college

    Experience with ERP solutions


Salary

Hiring salary range is $54,528 - $62,707.


Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education.
