Job Description Summary

Under the supervision of the Manager, Property Management, the Property Management Coordinator at Redstone Realty Solutions will perform a variety of functions to support the success of the Property Management department in the growth of the client base as well as performing administrative functions essential to the day-to-day operation of the Property Management department.

Job Description

Essential Functions


  • Assists with fielding questions and concerns from property owners, tenants, and prospective tenants to make sure that inquiries and concerns are responded to in a timely manner.

  • Assists with the renewal process for both owners and tenants to provide a seamless experience for customers.

  • Meets with new prospective commercial and residential property owners to assess their needs and provide information about the services provided by Redstone Realty Solutions.

  • Engages in business development activities to help grow RRS’ market share in commercial property and community management through attendance to networking events, cold calling, etc. to market the property management services offered by RRS.

  • Coordinates the showing of properties to minimize the impact on existing tenants.

  • Coordinates repairs and maintenance requests from tenants, including following up to ensure satisfactory completion.

  • Perform background checks and verify rental applications for prospective tenants.

  • Obtains owner approval of prospective tenants and coordinate lease signing.

  • Follows up on rental renewals and coordinate lease extensions.

  • Lists available rentals on relevant platforms and manages leads.

  • Collaborates with property managers to ensure smooth operations of the properties.

  • Provides record keeping for the company as well as property owners to ensure that necessary information is readily available upon request.

  • Utilizes company approved and provided property management software.

  • Other duties as assigned.

Supervisory Responsibility

This position has no supervisory responsibility related to the direction of staff in the property management department.

Work Environment

This job primarily operates in a professional office environment. This role routinely uses standard office equipment such as computers, smartphones, photocopiers, filing cabinets and fax machines. This position will be required to travel to and from client properties to provide tours for prospective tenants and perform inspections, which might subject the incumbent to changes in temperature and other environmental conditions.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Occasional climbing of ladders might also be required during property inspections.

Required Education and Experience


  • High school diploma or equivalent required.

  • Additional education in a business field preferred.

  • Two years of experience performing property management or leasing services is required.

  • Education in or experience with real estate laws and regulations is preferred.

  • Experience using property management software platforms preferred.

Skills/Abilities


  • Strong understanding of rental/lease laws.

  • Strong customer service skills.

  • Strong mathematical aptitude.

  • Data entry skills.

  • Attention to detail.

  • Experience working with spreadsheet programs.

  • Ability to communicate in a professional manner while delivering information clearly and effectively.

  • Ability to utilize basic computer and office equipment.

  • Time management skills.
