Job Description:

In support of MLT Corporate, we are seeking a Proposal Coordinator to support proposal development and business development activities. The ideal candidate will demonstrate a keen attention to detail and proficiency in the use of Microsoft Office suite, with proven administrative experience not limited to drafting e-mail correspondence, templates, documents, and presentations. Understanding of the defense acquisition framework and previous experience coordinating proposals that target Department of Defense and Federal Government contracts is preferred.

Specific requirements include, but are not limited to, the following:

• Performing all aspects of proposal coordination, including but not limited to the following:

• Reviewing the solicitation and all associated files

• Creating proposal timelines/schedules, templates, crosswalks, data calls, and briefings

• Drafting and sending e-mail correspondence to inform parties of proposal status and actions

• Tracking open actions and following up with persons assigned through completion

• Supporting the creation and development of proposal text, tables, and graphics

• Coordinating the development of proposals with various departments and industry partners

• Planning and coordinating proposal reviews and documenting feedback to improve proposal quality

• Consolidating input from various sources into draft proposal files

• Editing and proofreading proposal content to ensure clarity, compliance, and consistency with solicitation

requirements, company policies, style guides, and industry standards

• Formatting and preparing proposal submissions in accordance with solicitation instructions and company

policies

• Following electronic proposal file access procedures and ensuring the security and integrity of all proposal

documentation

• Assisting the Proposal Manager with other proposal related tasks, as assigned

• Working with Business Development and Capture professionals to:

• Research business opportunities, the associated competitive landscape, and current market trends to support

pipeline development and capture activities

• Assist with the creation of corporate collateral materials, presentations, and capability statements

• Understand output from the capture process (e.g., technical and management solutions, defined win themes

etc.) and ensure its effective transition to the proposal team to be translated into the respective proposal volumes

Education/Experience:

Bachelor's Degree in English, Technical Writing, Acquisition, Program/Project Management, Logistics, or a related field and 2 years of professional work experience - preferably in proposal coordination or an administrative role

or

High School Diploma and 6 years of professional work experience - preferably in proposal coordination or an administrative role

Prior experience providing program-level support in the defense acquisition industry is preferred

Specific/Preferred Requirements:

Experience Required:

• Knowledge of Shipley processes to coordinate proposals in the defense sector

• Understanding of federal government contracting, procurement processes

• Experience in desktop publishing and working with various templates and styles

Required Skills and Attributes:

• Strong work ethic with a desire to excel professionally

• Ability to effectively organize and communicate information

• Strong communication (written and verbal) and interpersonal skills

• Proficient reader with a high attention to detail

• Proficiency in MS Office 365 applications, including Word, Excel, PowerPoint, SharePoint, and Teams

• Ability to work in a fast-paced, deadline-driven, team environment

• Ability to organize and prioritize multiple tasks and projects effectively, adapting to change when needed

• Ability to safeguard proprietary and business sensitive information

Physical Demands:
