Prudential Retirement Strategies is seeking a skilled, highly engaged, self-motivated Executive Assistant supporting the Head of Service & Operations in leading domestic and offshore teams who deliver our customer service experience and drive our service strategy. 

The successful candidate will have a broad perspective, anticipate needs, and should be comfortable working in a fast-paced, dynamic environment, and deliver quality and accurate work. Must possess excellent written and oral communication skills, and partner with those who support executive leaders across Prudential’s business functions and external partners. Candidate must demonstrate strong business acumen and organizational savvy to effectively prioritize and manage requests; provide the appropriate degree of flexibility and ensure follow-through of issues in a timely manner. The candidate must be tech-savvy, skilled in time-management, collaboration, project and task management and successful at developing a strong network. In addition, a professional and calm demeanor when multi-tasking is imperative.

The current EWA for this position is Hybrid and requires your on-site presence on a reoccurring basis as determined by your business. Your manager will provide additional details relative to the specific number of days you are expected to be on-site.

What you can expect:


  • Coordinate complex internal and external scheduling across multiple time zones and extensive calendar management for the Head of Service & Operations (e.g., anticipating conflicts and being proactive in calling attention to critical meetings that require preparation).


  • Coordinate and implement small projects in support of the Service strategy


  • Oversee and develop department and team communications; coordinate regular financial/budget reporting.


  • Assist with the development of business metrics and reporting for core service functions to deliver and monitor committed business outcomes.


  • Coordinate executive team functions and events.


  • Maintain incoming and outgoing email communication - prioritizing most critical items needing attention/handling


  • Handle logistics for team meetings, including anticipating technology needs and hybrid-work environment concerns, assist with preparing materials, and tracking meeting agenda topics and required attendees.


  • Maintain a regular open line of communication, typically via Teams chat, email, and video/calls.


  • Build strong relationships across the Prudential enterprise, and especially within the network of executive assistants supporting leaders across Retirement Strategies functions.


  • Coordinate travel arrangements, prepare itineraries and submit accurate general expense and travel vouchers, reconcile credit card statements, and enter necessary information into compliance and other monitoring systems.


What you’ll need:


  • Project management experience and ability to create, manage and implement project plans


  • Highly organized, detail-oriented, and strong multi-tasking skills; ability to prioritize effectively and maintain focus despite frequent interruptions while handling multiple priorities simultaneously.


  • Ability to take initiative and anticipate needs, problem solve and to think ahead for upcoming priorities weeks/months in advance.


  • Excellent ability in making accurate and timely administrative judgment decisions and maintain discretion in handling highly sensitive and confidential information.


It’d be a plus if you had:


  • Ability to develop and foster relationships with the ability to collaborate effectively with culturally diverse staff across geographies, backgrounds, functions, and levels of the organization.


  • Excellent communication skills (written and verbal)


  • Technologically savvy and knowledge of systems such as procurement, security/software requests, travel reservations, and time-off/calendar management, etc.


  • Excellent proficiency in Office 365 suite (e.g., Outlook, Teams, SharePoint, PowerPoint, Excel, and Word)


  • At least 3-5 years of administrative experience for Sr. Executive leaders.

The salary range for this role is from $67,500.00 to $100,400.00. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills. Roles may also be eligible for additional compensation and/or benefits. Eligibility to participate in a discretionary annual incentive program is subject to the rules governing the program, whereby an award, if any, depends on various factors including, without limitation, individual and organizational performance. In addition, employees are eligible for standard benefits package including paid time off, medical, dental and retirement.
