Job Description:

The Director, Meetings Planning is responsible for overseeing the strategic planning, coordination, and execution of corporate meetings and events for U.S. Operations. This role requires a seasoned professional with extensive experience in event management, strong leadership skills, and the ability to drive successful outcomes. This person will lead a team of experienced meeting planners who partner with U.S. Commercial Business Unit teams in planning and executing engaging and meaningful meetings and events. These meetings should place high focus on creating memorable colleague experiences that meet the objectives of the Commercial leadership.


This role will need to build and maintain an efficient and collaborative meetings and events management process, identify synergies and best practices across brands and therapeutic areas, and drive for cost effective solutions. The ideal candidate drives results and supports key business objectives through strong organization, communication, and collaboration skills. This role will represent the function on the U.S. Commercial Operations leadership team and report directly to the Senior Vice President, U.S. Commercial Operations.



Responsibilities:



  • Develop and implement comprehensive meeting and event strategies that align with the company's goals and objectives.

  • Partner with meeting planners and Commercial stakeholders to plan annual calendar of internal and external meetings.

  • Support team of experienced meeting planners in planning & executing 50-75 meetings annually including the U.S. National Sales Meeting and Annual Sales Award trip.

  • Monitor and evaluate the success of meetings and events, providing detailed reports and recommendations for improvement.

  • Closely partner with Medical Education & Conventions Marketing to ensure consistent, high-quality representation at Industry and Customer Events.

  • Create detailed event proposals, including creative themes and production quality high value experiences, timelines, venues, suppliers, legal obligations, staffing, and budgets.

  • Lead team in coordination of all logistical aspects of events, including venue selection, catering, entertainment, transportation, and accommodation.

  • Negotiate contracts with vendors, suppliers, and speakers to secure the best possible terms and services.

  • Build and maintain strong relationships with key stakeholders, including clients, partners, sponsors, and internal teams.

  • Ensure compliance with insurance, legal, health, and safety regulations.

  • Develop and manage event budgets, ensuring all events are delivered within financial constraints.

  • Monitor and report on event expenses and reconcile final invoices with vendors.

  • Partner with the Compliance to events and meetings adhere to internal expense policies and track and monitor all compliance related expenditures and reporting requirements.

  • Monitor vendor compliance with related policies and procedures, most notably those relating to regulatory and compliance of promotional materials and interactions with veterinarians.

  • Intermittent travel will be expected to conduct site visits or attend meetings as needed.


Qualifications



  • Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or a related field.

  • Minimum of 15 years of experience in corporate event planning or a related field, with at least 5 years in a leadership role

  • Excellent organizational and multitasking abilities.

  • Excellent people and communication skills, ability to operate in matrix environment, and ability to build consensus across functions without direct authority.

  • Proficiency in event management software and tools.

  • Creative thinking and problem-solving abilities.

  • Advanced Project Management skills meeting critical timelines and deadlines.

  • Experience working with multiple teams in executing various complex tasks in a fast-paced environment.

  • Demonstrated ability to be a team player, and organize and prioritize multiple projects rapidly, in changing work environment.

  • High-energy, self-starter who has the initiative to function autonomously.

  • Strong time management skills, the ability to function effectively in a fast-paced environment.
