How will you make an impact:



The Executive Assistant serves as the primary interface for the President of our Clinical Next-Generation Sequencing Division (CSD), interacting with key leaders, customers, and employees at Thermo Fisher Scientific. This role is responsible for providing professional-level support to the President in the division and having C-level interaction across global sites and internal/external stakeholders over multiple time zones.



Essential Duties and Responsibilities:



  • Proactively manage communication (emails, phone calls, necessary follow-up); screen telephone or email inquiries, communicate messages, redirect calls and respond to urgent inquiries from the corporate office, global sites, and internal/external partners over multiple time zones.

  • Manage the President's calendar, including recurring meetings, prioritizing appropriately and using good judgment in offering solutions to complex scheduling and meeting planning as needed.

  • Enable complex global travel activities; prepare and coordinate complex and multi-stop travel, including accommodations, local transportation, passport/visa requirements. Proactively and on time compile, submit, and track expenses for the executives. Proactively anticipate potential travel issues and respond accordingly.

  • Provide exceptional attention to detail in all efforts and outputs. Anticipate potential changes or shifts in priorities amidst simultaneous demands for attention.

  • Schedule and coordinate complex meetings. This includes but is not limited to, attendee communications, venue management/site coordination, audio/video set-up and management as needed, catering and program material preparation. Events could include leadership off-site meetings, customer visits, town halls, team meetings, etc.

  • Track and drive completion of key deliverables, proactively following up on outstanding items as needed.

  • Generate, compose and edit confidential, routine and non-routine documents. Proof-read documents and materials and correct as necessary and/or compose routine correspondence using predetermined formats.

  • Provide innovative, creative and time-tested methods and procedures for fostering continuing improvement to practices or processes.

  • Work effectively as a team member of the CSD Administrative team to ensure continuity for breaks, vacations, or high-volume times. While the role is responsible for primary support of the President of CSD, it is expected that as needed, the successful candidate readily contributes to the overall success of the CSD executive team and colleagues.

  • Uphold the strictest confidentiality on information gleamed as part of responsibilities. Handle all confidential information and documents with the highest level of discretion.

  • Collaborate and get results in a complex global organization during times of change, evolution, and transformation. Demonstrate an adaptive and flexible work style shown to be effective working across varied types of clients, senior level leaders and front-line team members that are geographically dispersed.

  • Complete projects, special assignments, other tasks and duties as assigned.


Education: High school diploma required; Associate degree or above preferred.



Experience: 10+ years of administrative experience supporting C-level executives.

  • Proven ability to handle confidential information with discretion and good judgment.

  • Sophisticated problem-solving skills and ability to work independently and within a team.

  • Advanced communication skills with a highly sophisticated customer and client focused communication style, both written and verbal.

  • Strong proficiency in Microsoft Office products.

  • Ability to work at a fast pace with a high degree of accuracy and attention to detail.

  • The ability to be highly organized and prioritize accordingly.

  • Maintain a high level of diplomacy and integrity, always upholding the values of the organization.

  • Demonstrated ability to display confidence and assertiveness respectfully with business leaders across all groups and comfort in approaching and working globally and across various cultures.

Compensation and Benefits

The salary range estimated for this position based in California is $66,000.00-$99,000.00.


This position may also be eligible to receive a variable annual bonus based on company, team, and/or individual performance results in accordance with company policy. We offer a comprehensive Total Rewards package that our U.S. colleagues and their families can count on, which includes:
