Job Summary: The Office Services Assistant is responsible for performing mail room work, distributing mail, bulletins, publications and printed material; and ensuring the smooth operations of the mail room.
Job Description:
ESSENTIAL FUNCTIONS
Collect, prepare, and transport mail to and from the U.S. Post Office.
Prepare packages and other mail for courier pick-up.
Sort and deliver mail within corporate office.
Order office supplies.
Maintain supplies used in the preparation of outgoing mail and/or packages.
Receive all incoming packages and freight, such as USPS and UPS, and delivers or coordinates delivery to the appropriate office or individual on campus, to include maintaining records of incoming packages and freight and documentation of delivery to the appropriate office or individual.
Operate the mailing machine and posts the correct postage to all outgoing mail.
Photocopy and distribute memos, bulletins, booklets, notices, reports and forms.
Prepare corporate cash report and bank deposit daily.
Control storage of accounting records moving between the Corporate Office and Save-A-File.
Ensure adequate postage is downloaded to the postage meter.
Conduct executive errands as needed.
SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE
Excellent organizational and customer service skills. Attention to detail.
Knowledge of Microsoft Outlook and basic Excel skills.
Demonstrated talent for interacting with a wide variety of people; ability to effectively organize and coordinate multiple priorities; ability to learn and develop new skills; ability to problem solve.
PHYSICAL AND MENTAL REQUIREMENTS
Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the unit. Bend, lift, carry, reach/extend arms and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
Lifting, carrying, and pushing up to 25 lbs. regularly, 30-35 lbs. frequently, and up to 50 lbs. occasionally.
Reading and writing work-related documents in English.
Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by customers and co-workers in English.
Constantly communicates and receives verbal communication with other employees.
Lifting, carrying, and pushing up to 15 lbs. occasionally, up to 30 lbs. seldom.
Occasionally stoop, kneel, or crouch.
Use hands and arms to reach for, grasp, and manipulate objects.
Physical presence at job site is essential to perform job duties.
Postal equipment in packaging and calculating postage.
Dolly and mail-cart.
