Position Summary The Assistant Director of Advancement Operations (Assistant Director) plays a crucial role in supporting and enhancing advancement efforts at La Salle University. This position is integral to managing and optimizing the use of Salesforce for advancement operations, ensuring data integrity, and providing insightful reporting and analysis to bolster the college’s fundraising and alumni engagement initiatives. The Assistant Director will serve as the Salesforce CRM system administrator responsible for establishing data policies, managing user access and permissions, integrating the CRM with other systems, and overseeing data quality and security. They will provide comprehensive support to the University Advancement team by designing and delivering a range of reports and dashboards that offer transparency into fundraising activities, campaign planning, and stewardship efforts. This includes tracking fundraising metrics and generating detailed reports for colleagues, senior administrators, and board members. The Assistant Director will also contribute to prospect research activities by helping to maintain accurate alumni and donor records and collaborating with major gift officers as their portfolios are developed.
Essential Duties CRM MANAGEMENT, DATA INTEGRITY, REPORTING & ANALYSIS
  • Utilize database and information processing tools to create and provide accurate donor and constituent data, reports, or dashboards in response to requests from staff within Advancement or other university offices.
  • Ensure data integrity, working with Senior Director to establish data policies, procedures, and workflows, cleanup data sources, audit data quality, and manage duplicate records.
  • Maintain and update donor and constituent records, including contact information, giving history, and donor preferences.
  • Monitor and improve the integrity of Advancement data through audits and updates of constituent bio-demographic records. Develop proactive strategies to improve the integrity of the data in the advancement office.
  • Write and maintain documentation on business procedures and data tools under the direction of the Senior Director.
  • Serve as the lead Salesforce analyst, overseeing system security, enhancements, upgrades, defect tracking, data transfer and integration into related systems such as Banner and the online fundraising and events tool, user administration and permissions, and liaise with the university’s Salesforce consultant.
  • Perform scrupulous data entry to ensure accuracy.
  • Assist with prospect research activities, identifying and analyzing potential donors to support fundraising efforts.
  • Maintain prospect assignment records within Salesforce, ensuring accurate and up-to-date information.
  • Collaborate with the major gifts team on tracking gifts related to proposals and major gift adjustments.
  • Provide training to CRM users according to policy procedures and job requirements.
  • Support fundraising projects and events in their relationship to the CRM.
  • Partner closely with the Enterprise Applications team and the Finance department to ensure seamless data integration and reporting.
  • Serve as a backup for the Senior Director, participating in cross training exercises.

Required Qualifications
  • Minimum of 1-3 years of experience in advancement operations, data management, programming, database administration or a related role in a data-processing work environment. Experience gained as a prospect researcher or development associate will be considered, as will experience in a sales support role within a for-profit setting.
  • Superior technical proficiency in Microsoft Office Excel, Word, Outlook, PowerPoint; Salesforce, Banner or similar customer relationship management software; and the willingness to learn new technologies such as SQL and Argos.
  • Aptitude for research, data mining, and targeted queries; ability to think strategically and analytically to translate data into actionable insights.
  • Ability to follow detailed procedures for processing; recognize when procedures or records need updating with a high level of accuracy, attention to detail, and confidentiality; and work independently.
  • Ability to recognize missing details needed for requests and take initiative in seeking answers to eliminate or mitigate potential problems.
  • Demonstrated success working in a dynamic, high-paced environment with the ability to manage multiple tasks with short deadlines.
  • Able to provide clear and actionable instruction to colleagues, offering assistance and training as needed.
  • Demonstrated ability to relate well to individuals from diverse backgrounds.
  • Team player with strong communication and customer service skills.
  • Knowledge of and commitment to the mission of La Salle University.
  • Bachelor’s degree; equivalent work experience will be considered.
