The Registration and Data Administrator plays a pivotal role in ensuring the smooth and efficient day-to-day operations. This position demands a highly organized, detail-oriented individual with exceptional communication and administrative skills. As a key contributor to our client's team, you will collaborate closely with all internal team members, leaders, and members to advance their mission.

Create Registration forms in Impexium, our association management software (AMS), including:
Meeting registration forms (all Fora and Symposia)
Exhibitor registration forms (all relevant meetings)
Additional workshops and short courses (when relevant)
Draft and distribute all attendee stakeholder correspondence, including:
"Know Before You Go" Messages
First Time Attendee Welcome Messages
Prepare exhibitor and attendee surveys
Post-Event Survey Reports (Exhibitor and Attendee)
Complimentary registration instructions to speakers, committee members, exhibitors and program partners.
Follow-up on outstanding registration fees.
Communicate with client members and stakeholders, including:
Registration data management
Prepare pre- and post-meeting attendee registration lists, as well as registration lists that will be used for on-site badge printing
Prepare event name badges
Customer service/miscellaneous
Serve as the first point of contact for inquiries via phone or email
Managing packing/shipping of meeting supplies for specific meetings
Creation and management of complimentary registration and discount codes according to client policies.
Ongoing cleaning and de-duping of Impexium database for both individuals and organizations
Search for and add prospects to appropriate client database
Inventory maintenance at client off site storage unit
Requirements
Bachelor's degree preferred, but not required.
1-3 years of experience in database management, registration administration, or a similar role preferred.
Ability to analyze data, generate reports, and present findings clearly and concisely.
Strong attention to detail and ability to maintain data cleanliness
Accuracy, particularly in data entry
Ability to work on and complete multiple projects with competing deadlines
Ability to interact with diverse, international audiences
Customer service focused
Ability to work independently with a small, virtual team
Strong computer skills and an aptitude to learn new programs are required. Proficient with MS Office (Word, Excel, Outlook and Zoom.)
Proficiency in Impexium, Asana and Slack a plus.
Strong verbal and written communications skills.
Must be team-oriented and able to work independently in a virtual, remote environment with cross functional team.
Strike a good balance between execution of established protocols and flexibility to change when appropriate.
Requires excellent interpersonal skills, including the ability to work well with individuals from varying professional, cultural and educational backgrounds.
Physical Requirements:
Ability to travel to three to five meetings each year for the performance of assigned duties and responsibilities.
Sit and stand for prolonged periods.
Perform data entry and keyboarding for prolonged periods.
