 The nonprofit Green Infrastructure Center is seeking a Finance and Operations Manager to manage grants and contracts, track expenditures, and handle HR and benefits programs.

 About: Founded in 2006, the nonprofit Green Infrastructure Center Inc. (GIC) is a leading designer of landscape conservation planning. Green Infrastructure includes intact forests, urban tree canopy, wetlands, springs, parks and rivers and soils that provide clean water, air quality, wildlife habitat, recreation and food. The GIC’s mission is helping communities realize that nature is also “green infrastructure” and to utilize natural solutions to address climate change, urban heat islands, improved public health, and increased social and economic equity. GIC’s clients include federal, regional, state and local government agencies, land trusts and conservation groups. This position is located at GIC’s Headquarters office in Charlottesville, VA. The position requires in office work at least two days a week, the other days can be remote. Position Overview: GIC has tripled in size in the past 6 months, going from a staff of 6 to 18 people. This requires adding more administrative personnel to help manage the company. The GIC’s staff consists of planners, geographers, landscape architects, urban foresters and natural resource experts and accountants. GIC’s administrative department includes the executive director, the senior accountant working on board relations, profit and loss statements and the organization’s budget, and a staff bookkeeper who manages and pays bills, creates grant financial reports and invoices clients. We are looking for a senior staff person to manage grant reporting, oversee the firm’s compliance with grant rules in the Code of Federal Regulations, ensure annual reporting to SAM and other databases, and to research benefits’ programs and manage general HR functions for the company.

Requirements

Company Administration:

  • Oversee grant reporting, ensuring compliance with all quarterly reports and deliverables’ accounting.
  • Advise the Executive Director on grant work priorities and perform administrative/supervisory functions relative to operational activities and personnel.
  • Review profit and loss statements, review current and future cash flows and banking operations.

General HR Functions:

  • Approving leave requests in consultation with direct supervisors.
  • Review and approve timesheets.
  • Review benefits options such as health care plans or other benefits and advise company on plan options and packages to Executive Director.
  • Preparation of job offers, annual review forms and employee benefits’ monitoring.

Grants and Accounting:

  • Review and track company budget.
  • Work with senior staff including Director of Forest Conservation and the Conservation Programs Manager to ensure timely completion of grant deliverables and maintaining reports to funding agencies.
  • Work with GIC accountants to ensure accurate and timely financial accounting and reporting for grants.
  • Assist with preparation of bids and proposals. This function is to review bids and assist in collating materials to meet client bids. Note that employee is not asked or expected to raise funds.

Work Environment and Demands: Ability to lift up to 10 lbs. occasionally and/or negligible weights frequently.

Must be able to remain in stationary position more than 50% of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Occasionally moves about inside the office to access file cabinets, office machinery, etc. Shared office space is located one block from Charlottesville’s lively downtown mall.

 

Degrees and Experience: College degree required. Majors in accounting or business administration preferred. Must have a minimum of 5 years of experience managing federal and state grants and working at a senior administrative level. Applicants who have worked for nonprofit organizations are preferred.

Required Knowledge:

Understanding of U.S. and state labor laws and competency and experience with human resources (HR) management protocols is essential.

Knowledge of federal grant requirements in the Code of Federal Regulations.

Basic accounting competency and familiarity with profit and loss statements and organizational budgeting.

Computer Software Skills: Skills in MS office suite (Excel, Word, PowerPoint) and Intuit Quick Books online.

Compensation: Salary Range: $80,000 to $95,000 based on experience. This is a full time 40 hour week; salaried position. However, part time applicants for 24 hours per week will also be considered if applicant has the right skills and experience. If not working full time, this will require a commensurate decrease in compensation and benefits. Full time position benefits include paid leave for six federal holidays plus accrued leave @14 hours per month, and health care (reimbursement for an individual health plan up to @ $550/month). GIC’s retirement plan is offered after first year of employment. This position follows state labor laws. This position is intended to be permanent, subject to maintaining company structure at current level. Job Location: Work location is at GIC’s headquarters in Charlottesville VA. Employee must reside in Virginia within a maximum one hour commute to GIC’s Charlottesville Office to allow for in-office work at least two days per week.
