WHAT YOU CAN EXPECT TO DO:
People Coordinators are every Fresh VEGgies "first friend" at VEG. They should provide a seamless experience that makes VEGgies brag about their job, before they even start. While there are many onboarding tasks to complete, the experience should feel effortless to the Fresh VEGgie. People Coordinators are also accountable for ensuring accurate data and task completion to support the People Team in a timely manner through the use of proactive and friendly communications.
Onboarding:
Own the lifecycle and create a seamless experience and continued communication for Fresh VEGgie pre-onboarding and first-day activities
welcome Fresh VEGgies to VEG with a smile as their first point of contact
complete background & drug checks and pre-hire employment verifications
ensure Fresh VEGgies are enrolled in orientation sessions
accurately enter data in the HRIS for assigned hospitals and or departments/business units
answer VEGgie benefits, payroll and other day 1 questions
support new hires with IT setup requirements (OKTA, VEG email, hardware, software + system access, Hospital/VQ software setup) liaising with IT team as necessary
Create and maintain accurate employee profiles and complete employment files in HRIS
Ensure all I-9's are completed by the third day of employment
Proactively follow up with leaders on a weekly basis to ensure I-9 compliance
Ensure all Fresh VEGgies complete the onboarding checklist items
Maintain, assign and audit state-specific onboarding checklists and associated onboarding activities and required trainings (harassment prevention) to new hires in HRIS
Prepare weekly new hire onboarding status reports for local leaders, Regional People Partners and People leadership team
Partner closely with the NERD team to continue to improve the NERD onboarding process.
Host the LIVE 1st hour of Day 1 Orientation to troubleshoot any questions your Fresh VEGgie has prior to day 1 in hospital
Proactively troubleshoot and make suggestions for improvements to the overall onboarding experience.
HR Operations & Systems:
Ensure data integrity and process change requests in a timely manner.
Maintain all employment records, ensuring compliance with local and federal guidelines and respond to a variety of document requests (from People leadership, legal, etc.) in a timely manner.
Respond to unemployment claims within three business days.
Conduct regular audits of HRIS data and employment files
Process all employment changes (ie. promotions, internal transfers, pay changes, I-9 reverifications, offboarding, etc)
Provide ad hoc HRIS reports to People leadership as requested.
Draft and generate employee change documentation (pay increase letter, promotion letters) and maintain them in respective employee files as requested by People leadership.
Oversee HR inbox and provide timely guidance to VEGgies related to People-specific administrative inquiries and/or requests (ie. VOEs, HRIS, benefits, etc) while escalating complex matters to the appropriate People Partner or People Leadership team member
Proactively support with communicating out VEG-wide process changes to assigned field People Partner team members
Provide assistance with org-wide People team projects & initiatives ie. performance reviews, engagement surveying, staff budgeting, etc, helping to communicate out timelines/deadlines and track progress for assigned region
Support with developing and documenting People related processes
Back up administrative support to the People Team team as needed
WHAT YOU NEED:
Bachelor's degree in HR or related field OR 4 years related experience
2+ years' experience in a HR or employee onboarding position
Experience and familiarity with Workday is necessary to be successful in this role. (Strong experience with other HR Information Systems, ATS + Payroll applications may be considered.)
Knowledge of benefits programs including: health insurance + 401k plans
Knowledge of state, local + federal employment/labor law (CA employment/labor law is a plus!)
Outstanding communication and organizational skills as well as the ability to multitask
Ability to maintain confidentiality is a must
Energetic, motivated, passionate self-starter

Customer service driven
Can successfully complete the tasks above by being innovative, flexible and adaptable to the unique challenges that present themselves throughout the VEGgie lifecycle
BENEFITS
Pay Range: $60,000 - $80,000
