Job Description Summary

The purpose of this position is to provide leadership and management for the facilities organization at a specific location, set of buildings, or campus environment. The Facilities Manager is charged with the day-to-day implementation of policies, procedures, programs and workplace services delivery that provides a well-managed and well-maintained building. An emphasis of this role is placed on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client's goals and objectives. This position coordinates the activities, financials, vendors and manpower required for current and future needs of the building and operations.
Job Description


  • Operate, maintain, troubleshoot and repair HVAC/Refrigeration Equipment, Dock and High Speed Roll Up Doors, Stretch Wrappers, related controls, motors, etc.

  • Maintain heating and cooling equipment, pumps, cooling towers, fan coil units, VAV, and air distribution systems, etc. to include the changing of filters, cleaning coils, flushing condensers, greasing fan, pump and motor bearings as required, inspecting and adjusting belts, replacing motor bearings, aligning pulleys and shafts, and perform annual inspections and other scheduled routines as directed.

  • Verify, provide direction, oversight, and confirmation of work performed by OEM or other contracted third-party service providers.

  • Clean, lubricate, and service a wide variety of pumps, valves, pneumatic controls, electrical, mechanical, and hydraulic devices.

  • Receive deliveries for parts, tools, supplies, and log and store them appropriately while maintaining accurate inventory for spare parts, tools, & supplies

  • Complete (Record) all work orders and work performed on site, including preventative maintenance in the ORACLE CMMS System

  • Complete all required safety training on time as assigned by the company.

  • Assist with installation and modification of building equipment and systems.

  • Replace and repair building finishes such as ceiling tiles, door hardware, wallpaper, and can paint walls, piping, floors, and equipment.

  • Troubleshoot, evaluate, and make recommendations to upgrade maintenance operations and/or implement savings opportunities.

  • Possess competent knowledge of the use and care of tools and equipment used in facility and ground maintenance.

  • Respond immediately to emergency situations and customer concerns.

  • Inspect buildings, grounds, and equipment for unsafe or malfunctioning conditions, preventative maintenance.

  • Maintain and operate fire and life safety systems such as: Fire alarm systems, fire pumps and related fire protection system equipment.

  • Perform repairs to plumbing fixtures (water closets, urinals, flush valve assemblies, lavatories, etc.)

  • Perform electrical, soldering, welding, carpentry, and minor snow removal (entrance ways, sidewalks, etc.) when necessary.

  • Comply with all applicable codes, regulations, governmental agency, and Company directives as related to building operations and practice safe work habits.

  • Ability to use technology such as; smart phones, tablets, computers, web-based applications, building automation systems, etc.

  • Comply with C&W Uniform Dress Code while working and maintain a neat and clean appearance while on the property at times other than working hours.

  • At times be the only maintenance staff member on duty or on site during certain shifts; in cases such as these may be required to work extended periods of time without relief when responding to priority/emergency situations (including overtime type assignments)

  • May require shift work and/or stand-by or on-call duties.

  • Ensure the day-to-day operations of the facility(ies) or campus, including custodial, life-safety, engineering, site services, and general maintenance, are implemented and carried out in a manner consistent with C&W policies and client directives

  • Verify that invoices match contract pricing

  • Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties

  • Respond positively and promptly to requests from building tenants and occupants. Oversee the implementation of ongoing contract programs to constantly assess tenant and occupant needs and to ensure problems are being solved promptly to the mutual benefit of the tenant, client, and the properties in accordance with contract scope and Service Level Agreements (SLA's)

  • Ensure that all site-specific documentation and reports are completed accurately and on time, including (and as applicable): Property Information Book, Site Operating Manual, Emergency Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, As-built Drawings, IIPP Manual, Paid Invoices File, General Files, Contract Files, Annual Property Conditions and Year-end Performance Report, and other reports and documentation, as required

  • Prepare, review, and give initial approval and as needed all budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facility(ies) or complex.

  • Coordinate the preparation and publication of the annual budget, quarterly reforecast, and business plans

  • Collect, analyze and report statistical data as may be required to provide accurate and current assessment of facility management objectives

  • Train and motivate facility personnel. Maintain positive staff relations. Conduct or approve performance evaluations for staff

  • Thoroughly familiar with the management contract and all requirements contained therein

  • Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims, as required

  • Assist in preparation and presentation of monthly reporting.
