Job Summary
Seminar Responsibilities
Inputs Chemistry guest/suppliers into BUY IU
Arranges hotels, cars, and any other travel needs
Coordinates schedules for faculty and guest speakers
Arranges lunch/dinner and receptions for faculty, guest, and graduate students
Tracks and maintains seminar information on Calendar
Maintains Chemistry and Simon Hall bulletin boards with seminar information
Monitors email chemsem@indiana.edu and responds as necessary
Travel Responsibilities
Processes purchases of conference registration(s)
Arranges travel needs for faculty, graduate students, and staff to include hotels, airfares, and car reservations
Requests travelers into BUY IU, Chrome River, and Egencia
Monitors email chemtrav@indiana.edu and responds as necessary
Reimbursement Responsibilities
Reconciles chemistry p-card reconciliation
Faculty, staff, graduate, and prospective student reimbursement for travel expenses
Faculty, staff, student reimbursements on out-of-pocket expenses
Communicates with customers and meets their various needs
Qualifications
EDUCATION
Required
High school diploma or equivalent (such as HSED or GED)
SKILLS
Required
Proficient communication skills
Effective interpersonal skills
Excellent organizational skills
Demonstrates ability to maintain confidential information
Maintains a high degree of professionalism
Preferred
Familiarity with university policies and procedures related to travel and seminar coordination
Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
