Summary: The Principal Administrative Business Partner plays a pivotal role within PTT, providing essential administrative support and operational coordination to drive the success of PT network operations. Reporting to the Strategy Realization Office, this position is integral to the Administrative Business Partner (ABP) Team, collaborating closely with senior leaders across Global MSAT, Engineering (PTT), and Digital and Operational Excellence (PTE).



Job Duties/Responsibilities:



  • Manage foundational administrative activities such as calendar management, scheduling department and team meetings across multiple time zones, and utilizing physical and virtual room reservation systems.

  • Coordinate complex scheduling for global summits, department offsites, and meetings involving senior leaders and external stakeholders.

  • Lead and coordinate event management activities including agenda creation, vendor management, and support for town halls, sprints, and face-to-face meetings.

  • Independently plan and execute large-scale, high-visibility events, collaborating with strategic event services.

  • Support communication activities by drafting emails, creating meeting agendas and materials, and facilitating department policy communication and feedback collection.

  • Enhance employee and team experience through milestone recognition, coordination of huddles and team activities, onboarding logistics, and interviewing process support.

  • Manage complex international travel arrangements and associated expense reporting as necessary.

  • Translate business needs into effective support activities, contributing to departmental value generation.

  • Build relationships with partnered teams, functions, and business units across multiple time zones.

  • Act as a primary contact for facility and IT service requests, including space planning and office supplies management.

  • Oversee financial processes including purchase orders, invoices, vendors, SOWs, and contract management, participating in RFP and vendor selection.

  • Manage departmental email distribution lists, print services, shipping/labeling, and information repositories.

  • Demonstrate autonomy in prioritizing workload to ensure balanced support and timely completion of tasks.

  • Navigate complex scenarios, identify solutions, define new processes, and facilitate knowledge sharing and learning experiences.

  • Actively participate in meetings, promote new work processes, and contribute ideas and support to colleagues.


Qualifications:



  • Bachelor's Degree or equivalent experience.

  • Proven experience in an administrative role supporting senior executives or leadership teams.

  • Prior experience with Roche/Genentech administrative roles required.

  • Ability to make independent decisions and problem-solve effectively.

  • High attention to detail and accuracy in all work activities.

  • Flexibility and adaptability to manage changing priorities and responsibilities.

  • Proficiency in Google Suite (Gmail, Calendar, Drive, Slides, Sheets, etc.) and other office productivity tools.

  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.

  • Strong communication skills in English; proficiency in German is preferred.

  • Ability to work independently with minimal supervision and as part of a team.

  • Discretion and confidentiality in handling sensitive information.

  • Previous experience in project management or coordination is advantageous.

  • Availability for support outside normal working hours, including evenings and weekends as needed.
