ADMINISTRATIVE ASSISTANT

This high touch/client servicing role is an integral part of our team in the North Palm Beach office. The responsibilities include client engagement, as well as greeting clients, visitors, and partners to determine their needs and direct them to the appropriate person. Also responsible for answering all incoming calls, taking, and relaying messages, answering questions and directing calls to the appropriate person. Handles partner meeting reservations, via Microsoft Excel, Outlook and Microsoft Teams. Provides administrative support for several executives and helps to manage the office logistics. This role will also provide cross-training opportunity for banking and back-up teller responsibilities in order to assist our banking team when necessary.

Major Duties:


  • Greet and assist clients and vendors.

  • Maintain daily events electronically through Microsoft Excel, Outlook, and Microsoft Teams.

  • Maintains and organizes paper and electronic files.

  • Maintenance of multiple meeting rooms to include set up of beverage service.

  • Assisting partners and teams with a variety of tasks and special projects related to Marketing, Trust Administration, Trust Investments, Lending or Banking.

  • Handles incoming mail for the bank including sorting, researching and emailing partners.

  • Works effectively as a team member but also independently.

Knowledge/Skill:


  • Strong interpersonal, verbal and written communication skills

  • Collaborative, and team focused.

  • Possess strong client service principles and practices

  • Possess strong understanding of administrative and clerical procedures

  • Possess strong knowledge of computers and relevant software applications

  • Strong time management skills

  • Solid attention to detail and ability to handle shifting priorities while meeting deadlines

  • Strong personal resourcefulness

  • Possess flexibility and capability to adapt to new procedures and be receptive to change

The successful candidate will benefit from having the following competencies:


  • One year prior experience in an office receptionist position.

  • Experience in banking, lending or trust is preferred but not required.

  • Proficient in Microsoft Office Suite.

  • Proficient in Microsoft Outlook preferred but not required.

  • Willingness to learn banking procedures.

This is an office-based position and for the effective performance of this role, the duties and responsibilities must be carried out onsite.
