The anticipated hiring range for this position is $3,865 - $4,800 per month.


The final salary is dependent upon qualifications and experience.



About the Department/Position:


Under general supervision of the Director of Toro CARE, the Health and Well-Being Coordinator is responsible for coordinating clerical support for the office and providing direct administrative support to the AVP, Directors, and Departments. The incumbent will provide a wide variety of complex and confidential tasks, troubleshoot problems and respond to all inquiries and requests. The coordinator will provide program support, compile statistical reports for the office, and collect and organize data. In addition, the incumbent will monitor and track purchases and communicate with multiple departments on campus in order to obtain or give information and to solve operational problems.


Possibility of working between two locations on campus (office setting/food pantry).

Overview of Duties and Responsibilities:



  • Serves as department office coordinator, working closely with the Director of Toro CARE.

  • Coordinates clerical support for the office and provides direct administrative support for Directors and Health and Well-Being Staff; including schedule meetings for Directors and staff minutes of meetings, sorts incoming mail and email, identifying priority items for the attention of the Directors, travel, supplies, and reports. Collect and organize data, including referrals from faculty, CARE Case Management, CAPE, Student Health Services and Student Psychological Services.

  • Based on knowledge of services, provides information and presentations to students, faculty, staff, and donors on Health and Well- Being practices and programs.

  • Interprets and applies policies and procedures independently and uses judgement and discretion to act when precedents do not exist.

  • Responsible for coordinating and providing administrative support for unit internship programs.



Minimum Qualifications:



  • High school program or its equivalent and four (4) years of general office experience.

  • CA Driver License



Knowledge, Skills, and Abilities:



  • Thorough knowledge of office management principles, methods, and procedures.

  • Knowledge of the principles, problems and methods of reception, customer service techniques, medical records and general office systems.

  • Organizational ability and knowledge of organization functioning.

  • Ability to clearly explain a variety of complex procedures and policies to students, staff, faculty, and visitors.

  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and at times creative solutions that yield positive outcomes.



Preferred Qualifications:



  • Ongoing work coordination and/or lead responsibilities experience.

  • In addition to the required experience: Three years current experience in medical office setting. AA degree or Certification in Medical/Clerical office management preferred.

  • Knowledge of medical/administrative office methods, procedures, and practices; knowledge of medical terminology, knowledge of procedures related to maintaining confidentiality of personal medical information. Ability to establish and maintain effective working relations.

  • Ability to lead, train and motivate student assistants. Strong customer service orientation to internal and external customers. Experience using medical information system, Microsoft software and university PeopleSoft systems.

  • Bilingual language proficiency in Spanish desired. Proficiency with Microsoft Excel strongly desired.

  • Skill in performing complex clerical tasks involving independent judgment, accuracy, and speed.

  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.

  • Fundamental writing and presentation skills to effectively communicate standard information. Work involves front line contacts with students, staff, faculty and visitors requiring active problem solving and effective interpersonal skills.

  • Skill in customer service techniques that result in positive interpersonal relationships.

  • Fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation.

  • Skill in the use of a variety of office support technology and systems including one or more word processing and spreadsheet software packages; use of a mainframe computer to enter data and generate reports, maintenance of a workstation or PC-based database; and use of electronic voice mail and building intercom system.
