Job Description:

Overview


This key member of the Snap-on Industrial team will provide shared administrative support to the Senior Vice President & President Commercial Group, and full administrative support to the President of the Industrial Division and corresponding Senior Management Team. Typical support includes telephone, email and calendar management, event support, travel arrangements and general communication across the Division. This position reports daily to the Kenosha, WI headquarters.

Responsibilities



RESPONSIBILITIES:



• Perform advanced, diversified, and highly confidential administrative duties for the Management Team requiring broad and comprehensive experience, skill, and knowledge of organizational policies and practices
• Complete a broad variety of tasks including managing active calendars for the senior team members. Monitor, compose, and respond to correspondence; arrange agendas; manage scheduling; calendar meetings as requested for domestic and international participants
• Research, prioritize and follow up on incoming issues and concerns addressed to the Management Team, including those of a sensitive or confidential nature. Consult with the Management Team in determining appropriate course of action, referral, or response
• Answer, screen, and direct calls to appropriate parties
• Communicate directly, and on behalf of the Management Team, on matters related to the organization's initiatives and activities
• Serve as back-up support to other Executive Assistants within the larger organization; work directly with CEO and Executive staff as needed.
• Plan and prepare for events and meetings. Schedule events, plan menus, source supplies, refreshments and prepare conference rooms and meeting spaces. Involved with the stocking of beverages and supplies, as well as menu planning with caterers and internal Café staff.
• Support Corporate events and initiatives as appropriate
• Create and facilitate internal communication for facility projects and campus events
• Assist with domestic and international travel: present air/ground travel options in a clear and actionable manner, assist with travel scheduling/documents, arrange passport renewals/visas, maintain a current view of travel restrictions/procedures, monitor, and adjust during times of travel interruptions/weather/change of plans, as requested
• Create and maintain relationships in the Corporate office and respond to Management Team requests for information
• Manage common technology for the Division including leases and maintenance for office machines and meeting room technology.
• Complete other duties as assigned



Qualifications



REQUIREMENTS:



• Minimum of a four-year college degree in Communications, Business, Marketing, or related discipline or equivalent experience
• Five or more years' experience providing executive level administrative support
• Strong project management capabilities
• Advanced proficiency in all Microsoft Office applications, video conferencing, and business technology support
• Advanced command of Power Point
• Outstanding written and verbal communication skills
• Advanced organizational skills
• Continuous improvement orientation
• Very limited travel may be required
