Pay Grade/Pay Range: Minimum: $44,200 - Midpoint: $55,300 (Salaried E6)



Department/Organization: 750501 - Alabama Water Institute (AWI)



Normal Work Schedule: Monday - Friday 8:00 am to 4:45 pm



Job Summary: The Event Coordinator oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff and students.



Additional Department Summary: This position will be within the Alabama Water Institute (AWI). AWI is one of five University of Alabama research institutes. AWI serves as a catalyst for interdisciplinary collaboration across the University's various colleges, uniting engineers, computer scientists, biologists, social scientists, economists, and more to tackle the pressing water challenges faced by Alabama and the world. AWI-affiliated researchers specialize in water security and quality, remote sensing, hydrologic and hydraulic modeling, biodiversity, watershed management and human health through synergies with AWI research programs, including the NOAA Cooperative Institute for Research to Operations in Hydrology, the Global Water Security Center, and the CONSERVE Research Group.


The Alabama Water Institute is looking to hire an Event Coordinator who will help execute the vision and strategy for AWI initiatives, organize and execute all activities related to AWI events and special programs.


The Event Coordinator will direct the planning, implementation, execution, follow-up and budget of events occurring both on and off campus. The incumbent will be responsible for conceptualizing event themes, creating invitation lists, selecting sites, creates seating arrangements, manages inventory, negotiates with florist, caterers, hotel sales directors, and print shops for maximum cost containment. The Coordinator will manage on-site contract staff, clerical support, and student assistants; develop and manage event budgets; and arrange transportation to event sites. Creating and maintaining a database of AWI past and current events and continually researching best practices, methods, and emerging technologies to ensure quality of AWI events and special programs are key to executing the position successfully.



Required Minimum Qualifications: Bachelor's degree and some event planning or coordination experience; OR associate's degree and two (2) years of event planning or coordination experience; OR high school diploma or GED and four (4) years of event planning or coordination experience.



Skills and Knowledge: Excellent (written and oral) communication, interpersonal, and organizational skills. Substantial planning, organizational, and problem-solving skills. Strong leadership abilities.



Preferred Qualifications: Experience overseeing event-related programming. Ability to travel.
