Your Opportunity:

The Herff Jones Customer Service Team is looking for a Service Account Coordinator to join our HJ Family.

This is a full-time, regular position with benefit eligibility including medical, dental, life insurance, 401k, and PTO.

The standard working hours are Monday through Friday 8 am - 4:45 pm. Overtime, including Saturday or Sunday hours may be needed or required during peak season. P eak seasons vary between January - June.

Here's How You'll Make Impact:
The Account Coordinator is an important part of the team that supports college accounts. This role supports the Announcement Product Specialist who works with and supports our customers and the Herff Jones sales representatives.

The Service Coordinator serves as a liaison with the High School Customer Service Product Specialist to ensure that any order inquiries are addressed within expected service levels. The Service Coordinator role provides overall customer support focusing on administrative duties such as entering text, reviewing text proof, entering student remakes, entering DOP orders, creating files, and filing back files. All daily functions of the product specialist will be reviewed with the college team coordinator.

What We Want You to Accomplish:

First 30 Days:


  • Be in complete learning mode, gaining knowledge from job aids and SOP (standard operating procedures).
  • Trained by an experienced Product Specialist working side-by-side to teach the role.
  • Understand the high-level flow of products and processes in the fine paper customer service department.
  • Enter DOP orders into Oracle.
  • File folders: Pull files and file back

First 90 days:


  • Receive service questions by email and phone.
  • Become proficient in performing basic operations in our ERP system (Oracle) independently or with little oversight.
  • Enter Text and Review Text
  • Update Text Changes for student orders
  • Enter student order remakes.
  • WRIKE: Entering an art request.

First 120 Days:


  • Process student returns and tracking.

What You'll Be Doing Daily:


  • Contribute to the team goal of reviewing text in five business days.
  • Support the company's goal of 99% on-time delivery by providing order entry support when needed.
  • Build strong relationships with Product Specialists to support the needs of our internal customers (manufacturing plant, sales representatives, other departments, etc.)
  • Maintain positive and professional communication and working relationships with Schools (customers), Sales Representatives, and all Personnel. This includes being responsive and doing a quick turnaround on questions or concerns from the customers, sales representatives, and internal personnel.
  • Provide administrative assistance as directed by Product Specialists, Customer Service Manager, or other leadership.
  • Work in a team environment and work on other tasks as assigned to meet the College Announcement team's overall delivery goal.

  • Manage file backs

What You'll Bring to the Table:

  • Highschool or GED required.
  • Proven success in effectively communicating (listening, writing, and verbal) to meet product delivery deadlines.
  • Previous success in Account Management or Customer Service working with multiple accounts with strong problem-solving and organization.
  • Proven ability to communicate through email and interpersonal communication with balanced information, care, and kindness.
  • Moderate to advanced skills with Microsoft Office (specifically Excel) and learning new systems/technology with an understanding some work is processed manually.
  • Demonstrated success managing multiple processes and tasks (including a large volume of emails) at a time with strong organizational and detail skills.
  • A positive attitude with a focus on learning the complete product cycle to better service the customers (schools and administrators) and field sales representatives.

Physical Activities:
Daily activity includes but is not limited to:


  • Reading, communication, lifting, carrying, sitting, grasping, reaching.
  • Use of a step ladder to retrieve customer files as needed.
  • Being able to sit for long periods of time.
  • Look at a computer for long periods of time.
  • Ability to work alone in a quiet environment.
  • Ability to work independent.
