Job Description Summary
This position will perform administrative and clerical duties to support the operations of a research group and support the faculty co-director of the Vagelos Integrated Program in Energy Research (VIPER) at the University of Pennsylvania, managed out of the Department of Chemistry.
Job Description
The Vagelos Integrated Program in Energy Research (VIPER) at the University of Pennsylvania trains the next generation of sustainable energy leaders through interdisciplinary approaches and immersive experiences in cutting-edge research through the pursuit of dual degrees in science and engineering. VIPER students cultivate a comprehensive understanding of foundational science and its practical engineering applications. Graduates of this program are awarded a Bachelor of Arts (BA) from the School of Arts and Sciences and a Bachelor of Science in Engineering (BSE) from the School of Engineering and Applied Science. VIPER is designed to prepare talented students to advance sustainable energy science and technology through interdisciplinary approaches and immersive experiences in cutting-edge research, positioning them to become the next generation of energy leaders and innovators.
Job Description
Principal duties of this position will be to maintain calendars and listservs, perform routine updates to websites and databases and the research group social media, productivity and communication apps, provide logistical support for the research group and VIPER meetings and events (organizing scheduling, room requests, catering, inventory, advertising, and coordinating event logistics, including set up and clean up), provide logistical support for research workflows, including scheduling internal and external team meetings, enhancing responsiveness to collaborators, forming checklists, and reminding about progress, support the preparation of scientific grant proposals and reports, including coordinating group-wide and external teams in writing and polishing of documents, curating information, editing documents, and provide program-related support to the research group, and VIPER Directors and Managing Directors (manage calendars and appointments, make travel arrangements and submit travel reimbursements, provide administrative support as needed).
Qualifications
- A High School Diploma or GED is required, and 5 years to 7 years of experience or equivalent combination of education and experience.
- Proven organizational skills
- Excellent interpersonal, written and oral communication skills
- Proficiency with Microsoft Office
- Willingness to learn new computer and online tools for scheduling, productivity, document prep, graphics, social media
- Experience with Penn travel, purchasing, budget, and administrative policies preferred.
