Travel Required: Minimal travel required

Work Schedule: M-F; 8-5 1 hour lunch


Position Summary: Under the supervision of the Ford County Attorney and Assistant County Attorney, the Legal Secretary will be performing a variety of legal, secretarial, and general clerical duties. The Legal Secretary will be specializing in Juvenile, CINC, Criminal Care, and treatment cases.

Essential Function Statement(s)

Provide extensive assistance to the assigned County/Assistant County Attorney.
The legal secretary is responsible for their own assigned attorney, the County Attorney and the Office Manager.
The legal secretary must possess the ability to converse well verbally as well as through written correspondences.
The legal secretary is expected to produce documents for filing at the Courthouse.
The secretary is expected to maintain files and prepare files for the attorneys.
Secretary will maintain the attorney's calendaring.
Perform secretarial duties using legal terminology, procedures, and documents.
Prepare legal papers and correspondence, such as summonses, complaints, motions, and subpoenas.
May also assist with legal research.

Mail, fax, or arrange for delivery of legal correspondence to clients, witnesses, and court officials.
Receive and place telephone calls.
Make photocopies of correspondence, documents, and other printed matter.
Organize and maintain law libraries, documents, and case files.
Assist attorneys in collecting information such as employment, medical, and other records.
Draft and type office memos.
Complete various forms, such as accident reports, trial and courtroom requests, and applications for clients.
Edit written material

Communication, Oral and Written- Ability to communicate effectively with others using the spoken word and proper writing style in all communication vehicles.

SKILLS & ABILITIES
Experience: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
Education: High School diploma or equivalent is required.
Skills: Computer skills in Word and Excel preferred. Must be able to adapt to different programs. Must be able to file correctly (alpha/numeric). Must have good telephone skills and be able to use a multi-line phone with ease. Good communication skills are a must. The use of general office equipment is necessary. Such equipment includes copier, printers, fax machine, personal computer, typewriter, scanner, telephone, and Dictaphone, among possible others.
Problem Solving: Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
Decision Making: Occasional decision making is required.
Accountability: Employee is not responsible for budgetary control but does assist in the preparation of the annual departmental budget.
Supervision: Receives immediate supervision from the County Attorney/Assistant Ford County Attorney handling Juvenile, CINC, Criminal and Care and Treatment cases, and from the Office Manager.
Personal Relations: Continual contact with county departments and the general public.
Working Conditions: Some physical effort is required. Ability to verbally communicate with employees, supervisors, and the public. Ability to operate office equipment. Ability to sit 1-1/2 to 2 hours without break. Ability to work extended hours. Ability to lift and carry boxes of files and reports.
