Accounts Payable Specialist
 

Department: Accounting

Location: Corporate Office

Reports to: Assistant Controller

Summary of Role: The Accounts Payable Specialist's primary responsibilities are the cash management and accounts payable functions for a portfolio of properties.

Position Type: Full Time – Non Exempt (eligible for overtime)
 

Key Responsibilities:
 


  • Process vendor invoices, refund requests, and debt service payments for accuracy, resolving discrepancies, and entering data into the system.

  • Review and distribute vendor payments weekly, and initiate wire and ACH transactions to lenders, vendors, and property owners as required. 

  • Process payment information for 1099’s.

  • Assist property accountants with research and reconciliation of unclaimed property.

  • Answer phone, email, mail, and walk-in inquiries related to accounts payable; research questions; provide information.

  • Coordinate with property personnel and Regional Property Managers to provide cash balances, obtain relevant information regarding vendor payments, and other necessary information as requested. 

  • Manage property cash to ensure critical bills such as mortgages, utilities, payroll, and management fees are paid timely.

  • Analyze/review vendor statements for accuracy and resolve discrepancies with property management vendors.  Check credit balances, and request cash refunds on credit balances.

  • Work on special projects as needed.

  • Fill in for employees on the accounting team as needed.

  • Maintain accurate accounts payable records in accordance with accounting best practices.

  • Organize and file appropriate reports and paperwork.  Maintain invoice copies for owner reporting and draw requests.

  • Ensure compliance with company policies and procedures as they relate to accounts payable.

  • Assist Assistant Controller in preparation of any daily and weekly reports, communications, etc. 

  • Perform any additional duties assigned by the Assistant Controller.
     

Qualifications and Experience
 


  • Associate degree in accounting, finance, or related field desired but not required. 

  • 3 years prior Accounts Payable experience.

  • Proven experience of economics and working with accounting principles and practices, financial markets, banking, and the analysis and reporting of financial data.
