About the Role


The Associate Analyst is an expert on Order Management and Production systems and processes, and plays a key role in interfacing with both internal and external business partners to ensure effective communication and efficient operations through the entire assortment lifecycle, from order placement through product delivery. The team employs solid business skills and acuity in order to plan, prioritize and execute tasks and responsibilities which support and impact processes and partners across the B2B and International Commerce organization. The Associate Analyst will apply their strong understanding of Gap Inc.'s product pipelines and business priorities to organize team resources, identify and resolve issues and support business objectives. This role regularly collaborates closely with functionally and geographically diverse teams including Merchandising, Logistics, Sourcing, Finance, IT, external partners and partner support teams across the globe. The Associate Analyst continually drives the business forward through demonstration of Gap Inc.'s Words To Live By, the foundation of our workplace culture.


What You'll Do



  • Provide Order Management support for all seasonal booking events by providing system support, responding to partner inquiries, uploading partner files as needed, running and providing reports, monitoring order progress and signing off on orders upon final submission. Partner directly with Sourcing teams as needed regarding booking details and accommodation of final buys

  • Provide sizing detail to sourcing teams and seed units for PO creation

  • Support PO creation for all final buy units by seeding POs, supporting manual PO creation process and managing US PO Uploader Tool as appropriate

  • Update Production End to End tool as needed to add additional booking events and capture changes throughout the season, including separating files into individual category files; notify Sourcing teams and negotiate to maximize acceptance of booked units; continue to update file throughout each season using E2E PO Refresh process

  • Responsible for in-season change management, including updating POs, SAM and End to End tools as needed to reflect changes based on change memo requests, chase and cancellation requests, booking reconciliations, and Priority Air Flips

  • Provide fabric projections to sourcing teams as needed to secure fabric prior to booking. Partner with sourcing and merchandising teams throughout process to realize changes and negotiateeconcile upon booking of units

  • Regularly work through Merchant Change Log, SOA Change Log and Issues Log. Take action on owned issues, update log and assign to new owner when needed. Collaborate cross-functionally to support PO creation for all units, meeting critical production deadlines

  • Create and provide seasonal Order Confirmation reports to partners using provided verbiage according to established deadlines. Ensure reports are validated appropriately prior to sending and support team in completing validations

  • Act as OM contact for assigned partners; respond to inquiries, provide support and build an effective business relationship; ensure customer setup details are accurate in system and keep partner contact list current

  • Maintain ownership of designated categories, building relationships and maintaining effective communication channels with category owners across teams

  • Setup partner system access in SAM and provide credentials; reset password and security answers when requested by users; request user reporting access for NOVA

  • Resolve ETL Reject variances by researching and making required changes to clear errors; resolve HAWB Bills in Error as needed

  • Support End of Season Cleanup process by validating status of POs with Sourcing teams and coordinating cross-functional approach to resolving PO issues and failures

  • Complete Retail Price Validation by confirming that Retail Price is correct on Direct POs

  • Interface with Sourcing and Merchandising teams to identify 3PL licensing options; provide letters to partners prior to importation

  • Review and action delivery delay and unit quantity changes requested by Sourcing teams in SMEE

  • Support internal and external teams with needs and inquiries related to price tickets, product trim, product classification

  • Review and action delivery delay and unit quantity changes requested by Sourcing teams in SMEE; notify Merchandising team of any delays exceeding 60 days

  • Run reports daily and capture output to support daily tasks and to provide to internal or external partners when needed; create and publish a variety of metric dashboards and reports, which may include the PO Comparative Report, the daily PO Portal Status Report, OM Seasonal Metrics, the End of Season Cleanup file, the Issues and Failed Report and others as assigned

  • Facilitate and/or actively attend meetings as needed to ensure current knowledge and awareness of business needs and goals, and facilitate cross functional collaboration

  • Communicate regularly with cross functional teams through email to resolve order and PO issues

  • Onboard and train new team members on new initiatives, procedures and processes where appropriate

  • Create and periodically review business process documentation to ensure accuracy and relevance

  • Assist with ad hoc projects and initiatives as identified as needed for system or process changes and enhancements

  • Seasonally setup assortments in PLM Centric by copying over all BOMs and maintaining costing in Tradestone/Bamboo Rose

  • Strong technical aptitude and ability to learn new systems and processes quickly

  • Bachelor's degree preferred or demonstration of comparable business experience

  • 1-2 years of retail experience desired

  • Intermediate Excel
