Position Summary:

The Administrative Assistant reports to the program coordinator and is responsible for the day-to-day management and activities within the academic programs. The Administrative Assistant provides clerical and communication coordination services for the program coordinator, faculty, staff, and various job functions as delegated.

Duties & Responsibilities:

• Assist the coordinator in the management and responsibilities of the academic program
• Answer phone calls for the program coordinator about academic programs
• Maintain student files and data for programs as needed
• Create and maintain a database for the program coordinator
• Creates and sends routine correspondence and forms to students
• Coordinates office activities and appointments
• Maintains office supplies for the program • Carries out administrative duties such as filing, taking phone calls, copying, scanning, etc.
• Assist adjuncts and faculty with accessing the learning management system, textbooks, syllabus, and other needs.
• Enter all department's requisitions for purchases and membership/license renewals
• Enter of EPAF's for adjuncts and overloads each semester
• Take and type minutes for meetings facilitated by the coordinator
• Assist with program events and meetings Serves as an office receptionist by greeting and directing visitors, screening calls, providing

Knowledge/Skills/Abilities:

The preferred candidate will possess a pleasing, welcoming personality, a spirit of cooperation and self-motivation, and knowledge of grammar, punctuation, spelling, basic math skills, general office procedures, and operating standard office equipment and computers. This position regularly has contact with department staff, students, alums, and the general public.

The applicant should be accurate, a problem solver, an effective communicator, a self-starter, adaptable, good judgment, professional, cost-conscious, cooperative, and dependable. Mastery of the English language and composition. Demonstrates ability to learn. Familiarity with current software (Word, Publisher, Excel, Google) and university computer systems. Minimum Qualifications:

Candidates must possess the formal equivalent of a high school diploma plus one year of clerical experience. Other job-related education and/or experience may be substituted for all or part of these basic requirements.
