The Medical Secretary is responsible for performing secretarial, clerical, and administrative tasks in support of the professional staff and overall clinic operations of Health Services.

Essential Functions/Characteristics

Schedule clinic appointments for patients.

Instruct and assist patients with self-check-in and with the on-line appointment scheduling system.

Greet and check in patients.

Answer all incoming telephone calls and respond to voicemail messages.

Refer calls to the appropriate person and follow through to ensure a timely response.

Assess student needs and schedule and appointment with the appropriate provider.

Manage all provider's schedules to ensure efficient practice patient flow.

Handle the data entry of clinical information into the electronic health record ensuring accuracy of health insurance, patient demographic information, and pertinent data in the patient's electronic health record.

Ensure patients receive the correct clinical forms and patient education handouts at time of checkout.

Schedule follow up appointments.

Arrange transportation for students being sent to urgent care, the emergency room, or specialty providers.

Maintain a cash drawer with basic accounting for weekly cash deposits.

Monitor all incoming medical documents received from the hospital, urgent care or external providers.

Scan medical documents into the electronic health record, and forward the document to the appropriate provider.

Scan, email, fax clinic documents to appropriate staff and faculty when directed by the health care provider.

Perform all clerical functions for the health care providers.

Copy and file pharmaceutical drug information handouts for patients.

Sort and route mail to staff for action and information.

Deliver outgoing mail and messages.

Provide the clinician with patient encounter forms throughout the day.

Process payment for medications, point of care testing and/or laboratory tests.

Manage laboratory specimen requisition forms for all laboratory tests.

Maintain office supply inventory by checking stock, anticipating needed supplies, placing and expediting orders, and verifying receipt.

Maintain cleanliness of the reception area, patient waiting room, and self-check-in kiosks.

Manage in person and telephone encounters with students, parents, University staff, and faculty.

Interact with Public Safety, Housing, Athletics, Uber Health, and ambulance services.

Assist with screening and entering immunizations, tracking compliance with required health forms, and sending weekly emails to incoming students who are missing data or non-compliant with health requirements.

Maintain patient confidentiality as governed by HIPAA / FERPA regulations.

This is a full-time(40 hours), 9-month, PSSA Level 2 Clerical Union position.



Job Requirements:

High School diploma or GED.

Minimum of one to two years of Medical Secretary/Receptionist experience in a clinic setting is required.

Proficient computer skills and efficiency utilizing complex computing applications on the systems and programs of the University's choice, for example, Microsoft Office Suite, Internet and Medicat or similar medical software used in Health Services.

Possess excellent verbal and written communication skills.

Ability to function independently, attend to detail, multitask, work under pressure and maintain a high level of productivity without close supervision or direction.

Possess excellent organizational and interpersonal skills.

Ability to deal effectively and efficiently with students, faculty, administration, staff, and the public in a professional manner.

Ability to learn and follow the policies and procedures of the Health Services Department.

Maintain patient confidentiality as governed by HIPAA / FERPA regulations.

Knowledge of ICD 10 coding and medical billing.

Preferred Qualifications
Associates Degree in a related field.
