Job Description:

Essential Duties: 


  • Coordinate department training sessions. Handle customer scheduling for service schools and service school billing.

  • Help cover phone coverage for Service and Parts departments. Coordinate messages and create a phone chart for the department. Act as primary operator for distribution of service and parts calls.

  • Assist Warranty Administrator with mailings, filing and/or faxes and campaign management.

  • Sort and deliver mail daily to Parts and Service personnel. Sort and distribute incoming faxes to departmental personnel.

  • File dealer satisfaction reports (surveys) for sold units and enter information into Case system and assign as required.

  • E-mail all dealer correspondence and maintain e-mail addresses.

  • Maintain and file all new truck files.

  • Assist with parts updates and provide copies for dealer and internal distribution, Tech Tips and Service Bulletins.

  • Send out copies of Service Bulletins and Tech Tips for dealer and internal distribution.

  • Assist in researching, documenting, preparing and distributing campaigns and/or recalls applicable to field machine populations.

  • Coordinate calendar distribution for all Parts & Service personnel daily.

  • Order supplies for both Service & Parts Departments.

  • Maintain all CSR emails and distributes as required.

  • Update all drop ship addresses as required in JDE.

  • Assist with monthly RMA reports.

  • Handle completion of JDE customer set-up.

  • Supports technical administration needs of dealers and service personnel, such as filing required paperwork, as required.

  • Assists with special projects as required.

Marginal Duties:


  • Assist Tech Pubs with preparing truck manuals.

  • Coordinate with MIS for updates of system requirements.

  • Minimum of 8 hours of training annually.

  • Work overtime if needed.

  • Perform other duties, assignments, and special projects as required.

 Minimum Qualifications (Education and/or Experience):


  • High School diploma or equivalent required.

  • Associate degree in business management or 5 years related experience preferred.

Qualifications (Other Skills and Abilities): 


  • Ability to operate various office equipment including, but not limited to, computer, calculator, fax, and copier.

  • Good written and verbal communication skills.

  • Excellent knowledge of Microsoft Office (Excel and Word)

  • Good understanding of department software programs such as JDE/Legacy/AS400.

  • Good organizational skills.

  • Excellent customer service skills.
