Job Description:

The Lead Front Office Associate is the first point of contact for patients and strives to deliver a positive and welcoming experience in every interaction. This position works with administrative management to ensure efficient operation of all programs available to their assigned location and plays an important role in the continuity of care by providing administrative support to patients and stakeholders through appointment scheduling, processing paperwork, and handling inquiries.

Job Duties:

In the absence of the Administrative Site Lead, enforce all policies and procedures, act as a liaison between clinicians and front office staff regarding scheduling and patient concerns, and manage provider and patient requests
Handle patient concerns and crises with empathy and patience and collaborate with site leadership to resolve as needed
Interacts with all patients and visitors with warmth and professionalism
Answer inbound and make outbound phone calls while responding to inquiries in a prompt and courteous manner, providing accurate information or triaging as appropriate
Check-in patients for appointments, verify demographic information, provide paperwork, and collect payments
Act as the point of contact for all intra-office referrals and inquiries by providing education on all services, intake procedures, and scheduling appointments
Ensure seamless coordination of care by scheduling patient appointments and collaborating with providers using multiple computer systems
Handle patient concerns and crises with empathy and patience and collaborate with site leadership to resolve as needed
Collaborate with clinical staff regarding patient care issues and scheduling
Participate in administrative tasks such as electronic filing, scanning, faxing, mailing in a timely manner
Maintain a clean and organized front desk and waiting room space by managing patient paperwork, office supplies, and other amenities
Attend mandatory meetings and trainings
Other duties as assigned


Hours

Monday-Thursday 6:30am-5pm

Qualifications

Highschool diploma or equivalent
Bachelor's degree preferred
Experience working in health care facilities and an interest in behavioral health is strongly preferred
Ability to prioritize responsibilities in a fast-paced environment
Excellent organizational skills and ability to work autonomously while managing concurrent deadlines
Strong attention to detail
Positive attitude and growth mindset
Proficiency in technology and computer use including Microsoft Office Suite
Strong communication and interpersonal skills, both written and verbal
Ability to manage stress while navigating difficult situations and escalated patient interactions
Keep all business information strictly confidential
Ability to work on site for all scheduled shifts
Commitment to position for minimum of 1 year
