About this role:

Wells Fargo is seeking an Associate Executive Specialist to join our Manager Advisory (MA) and Separation Services Group (SSG) Teams within Human Resources. This role will be responsible for providing administrative support to two Human Resource Leaders, April Taylor and Brian Rubenstein, and their teams.

In this role, you will:
  • Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
  • Support projects by coordinating meeting logistics and preparation, managing invitations and facilities and providing detailed data, information and resources to leader and participants
  • May assist with budget planning and reporting.
  • Act as information source on group and company policies
  • Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Partner with other administrative professionals to ensure seamless handoff and coordination of duties/tasks/responsibilities in the other's absence and/or in support of the business
Required Qualifications:
  • 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
  • Experience supporting multiple senior level leaders/executives with calendar management, travel arrangements, scheduling of meetings and events
  • Excellent verbal, written, and interpersonal communication skills
  • Strong analytical skills with high attention to detail and accuracy
  • Ability to effectively work in and support a virtual team environment interfacing electronically and by phone.
  • Proficiency in articulating, communicating professionally and appropriately with confidence at all levels and across functional lines.
  • Experience handling confidential material in a professional manner.
  • Experience in creating and editing executive ready power point presentations
  • Experience with Workday and My Concur
  • Experience managing SharePoint site and Microsoft Teams channels
  • Experience with ordering and purchasing equipment and supplies
  • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, MS Teams and SharePoint) skills
  • Displays initiative, acts proactively and demonstrates a sense of accountability for key responsibilities
  • Comfort level with preparing staff agendas, organizing materials and pulling basic reports for larger team
Job Expectations:
  • Must be in office at the Phoenix - Rose Garden location 3 days a week
