We are in search of a Project Administrator in Lakeland, Florida for a permanent direct-hire position! In this role, you will work closely with project managers and the administrative team, handling project documents, billing, and customer communication along with office administration duties as needed. This role will require you to perform a variety of tasks that will support the smooth running of projects.
Responsibilities: • Collaborate with Project Managers to ensure timely and accurate billing and invoicing. • Follow up on invoices and related documents, ensuring they are correctly submitted and processed. • Track billing and project documents meticulously to ensure all information is up-to-date and accurate. • Assist in the creation of reports for the administrative team and project managers. • Perform collections duties by communicating with the accounting departments of large customers, and ensuring invoices are submitted correctly. • Take responsibility in maintaining customer credit records and processing credit applications. • Answer phone calls from the field, ensuring all calls are answered and followed up with necessary assistance. • Ensure that labor, materials, and subcontractor costs flow through the system correctly once a job is set up. • Create reports and communicate with the project manager on project needs. • Provide backup support to other team members in answering phones and other administrative duties as needed.
Qualifications: • A minimum of 2 years of experience in a Project Administrator or related position with strong project billing experience. • Proficiency in using project management tools and software. • Strong organizational and multitasking abilities. • Excellent written and verbal communication skills. • Ability to work in a team and coordinate with various departments. • Proven ability to manage multiple projects simultaneously.
