Job Description:

Flotech is searching for a star Assistant Project Manager to join our growing Central Florida team in Orlando, FL. This role is for a highly organized individual who thrives in a dynamic environment, while maintaining strong attention to detail, tapping into problem solving skills to meet project objectives.

As an Assistant Project Manager, you will play a critical role in client communications, coordination with field operations, project planning, management of deliverables and assist the project manager and field operations managers in coordination of staff and crews. Additionally, quantitative analysis and reporting is key - ensuring accurate revenue recognition, cost controls, budgeting and efficient billing processes are key aspects of the role. The APM to reports to the Regional Project Manager, who reports to the Director of Operations.

-80% in office, 20% in field

Key Responsibilities:

1. Project Support and Coordination
  • Partner with project managers, field ops managers and crew leaders to execute project goals (overview of the project, key specification requirements, overview of the internal contract / proposal items, project schedule, and material delivery schedule for rehab work)
  • Assist with pre-CCTV videos, required permitting, material ordering is completed in advance of the start of work.
  • Assist in procuring materials and subcontractors in accordance with project budget.
  • Perform site visits to assess production rates and resource needs.
  • Support Business Development and Estimating teams as needed.
  • Safety - Promote a Safety-First Culture (assist in conducting weekly safety meetings)

2. Project Monitoring and Reporting
  • Ensure accurate tracking and reporting of all active projects.
  • Compile and review production data (DWR) from field crews for project manager's review.
  • Verify, track, forecast, manage daily project costs as per Estimator's budget.
  • Maintain master DWR with daily input of revenue, labor hours, and job notes.
  • Create and deliver project reports, analyzing data from project execution.

3. Client Communication and Deliverables
  • Assist project manager with project deliverables preparation, presentation, and submission, including QAQC per NASSCO PACP/LACP/MACP standards, GraniteNet inspection reports, ARC GIS system input and pipe condition assessment reports.
  • Assist in scheduling and coordinating of crews and equipment.
  • Demonstrate high standards of communication with clients on project updates.

4. Project Financial Management
  • Assist project manager in project billing and job costing.
  • Assist with daily budget tracking and variance analysis.
  • Assist Accounting team in periodic financial reviews, including revenue recognition and job cost review, equipment cost review, project cost management, billing preparation, and operational expense review.
  • Review and maintain regional expense reports, enforcing company expense policy.

5. Team Coordination and Resource Management
  • Coordinate with project managers and other project leads.
  • Act as a regional liaison for HR, IT, and business management, as needed.
  • Assist in onboarding new team members.
  • Enforce operations and accounting controls, policies, and SOPs.

Qualifications:
  • Bachelor's degree in construction management preferred, but not required.
  • Ability to analyze civil construction contracts, plans, specifications, drawings, preferred but not required.
  • Proven leadership and communication skills (written and verbal)
  • Experience in Project Management or Field Operations Management
  • Experience working in maintenance and / or construction of storm and wastewater collection systems (jet-vac cleaning, cctv pipeline inspection)
  • CIPP and trenchless rehab experience preferred.
  • Strong organizational and time management abilities
  • Proficiency in software and data management tools
  • Bilingual: English & Spanish preferred
  • Ability to be decisive, flexible, and execute effectively in a dynamic fast-paced environment.
