Location: This is a fully remote role. Candidates who live near CB offices have the option of being fully remote or hybrid (Tuesday and Wednesday in office)




Type: This is a full-time position (non-exempt)




About the Team



The AP Program Access team focuses on expanding the benefits of AP to all high school students who enter 4-year and 2-year colleges, specifically to students who haven't received the foundation AP provides for college success. In this role, the Associate Director will manage and execute the logistics for a wide range of initiatives that maximize the reach of the AP Program, specifically AP African American Studies.



About the Opportunity



As the Associate Director, Events and Operations, you will play a critical role in connecting the dots between planning and execution for the African American Studies course. You are eager to dive into and manage details to proactively support the African America Studies team. You'll be the "first line of defense" for logistical and event requests for the AP AfAm team managing the multitude of requests coming the teams way, seeking to resolve them swiftly and proactively.You will also manage and plan events from end to end including travel logistics, preparing panels, event management and ensuring all attendees are well cared for and prepared. In this role you will also have the great opportunity to support our course and teachers work and manage the team's budget.



In this role, you will:



Project and Event Management (35%)




  • Collaborate with Senior Director and team on tasks related to event project management, including updating assigned projects and identifying any challenges






  • Support, execute and assist with coordinating and responding to the high level of requests for attendance the team receives weekly






  • Serve as point of contact for critical aspects of our events from email flow/marketing to procurement processes. The team will look to you to lead communications and execution of these tasks seamlessly






  • Lead travel coordination for AAS team travel and/or group bookings; track and audit travel activities, expenses, and payments for consultants and budgeting






  • Provide regular support and help with events and speaking engagement requests managing responses and event inboxes; reviewing and responding to communications received






  • Maintain confidentiality and exercise superb judgment in dealing with sensitive information, and/or escalate issues as necessary




Meeting and Logistics Planning (35%)




  • Ensure flawless execution of high-profile meetings held in conjunction with the team, portfolio including and not limited to: attendee logistics and itineraries, scheduling of rehearsals and dinners, and meeting execution, utilizing College Board technology solutions






  • Provide a wide range of support for AAS meeting management, such as: update event records, schedule meetings, and generate reports and divisional in-person and online meetings






  • Provide support and assist in compiling presentation decks and any collateral provided at gatherings.






  • Regularly engage and build strong relationships with College Board leaders, relevant support staff and external stakeholders




Database and Reporting (20%)




  • Assist in the setup of event registration process on CVENT platform, including special paths for VIP groups.






  • Maintain session updates across platforms -Cvent (website, speaker management) and Guidebook (mobile application).






  • Fulfill routine data requests, and maintain core membership data using Salesforce, for example generate reports of key data points, process contact updates and manage rosters






  • Maintain and have command of event attendee information in CVENT, for example: regularly generate event attendee reports, clean event registration data to ensure accuracy, researches and makes necessary updates to attendee records, and be able to answer ad hoc questions about event attendee trends






  • Facilitate seamless data integration across diverse platforms, to optimize information flow and enhance organizational analytics




Budget Maintenance (10%)




  • Manage expenses and assist in maintaining budgets across teams collaborating with leadership






  • Monitor and review budget variances, providing information to team

  • You work well under pressure and value and seek out feedback






  • Strong written communicator who can go from crafting the perfect email to proofreading a stakeholder memo to presenting remotely or in-person to groups of varying sizes






  • You are trustworthy, have excellent judgement, and are a skilled collaborator






  • You have 3+ years experience in operations or related field






  • A passion for supporting educational and career opportunities for millions of students






  • Willingness to travel 10-12 times per year for internal and external meetings/events






  • Must be authorized to work in the US





About Our Process

The hiring range for a new employee in this position is $56,000 to $90,000. College Board differentiates salaries by location so where you live will narrow the portion of this range in which you can expect a salary.
