Job Description:

Position Summary

The Facilities Coordinator provides administrative support to Facilities Managers and staff. Performs a varied range of assignments in supporting the daily functions of the Facilities Department.

Essential Duties(Other duties within the scope of this position may be assigned.)

1. Respond promptly to phone calls, text messages and emails.

2. Manage the CMMS system, including receiving work requests, assigning work orders, entering system
data and providing overall system administration.

3. Process department invoices in MICROIX daily and prepare supply orders for hubs, as needed.

4. Maintain records of all costs, supplies, materials, contracts, vendor evaluations, contractor quotes/bids
and associated internal billbacks. Reviews P&L statement with Regional Facilities Managers and
researches any discrepancies.

5. Investigate efficiency improvements through new techniques, programs, and products.

6. Schedule and monitor life safety, backflow and water basin inspections in accordance with city, county
and OSHA requirements.

7. Maintain the data base for the Facilities team (Goodpoint, One Note, etc.) and submit incident reports
as needed.

8. Inventory all location signage, order as necessary and engage with Marketing if new signage is
needed.

9. Maintain store fixture inventory as stores are closed to use for new projects.

10. Liase with vending and coffee providers identifying problems and collects/counts cafe
funds to deposit with Finance.

11. Compile various data and create reports in support of Facilities Department such as site storm
damage, technicians' time and materials costs, bids for ongoing maintenance and CapEx projects and
additional as needed.

12. Creates agenda of pertinent information and discussion points for weekly departmental meetings.

13. Represent Facilities Department in inter-departmental meetings, store openings and closings.

14. Point of contact for Central or Coastal Region in the absence of Regional Facilities Manager.
Supports Vice President of Construction / Property Management as needed.

Supervisory Responsibilities

The associate in this position does not have any supervisory responsibilities.

Education/Experience/Certificates/Security Clearance

• High School Diploma or GED required. Prefer associate degree.

• 1-3 Years' experience in a related field required.

• No professional certifications are required for this position.

• Valid state driver's license, insurance and satisfactory driving record are required.

• Associates in this position will be required to successfully pass a criminal background check and sex offender check.

• Ability to operate PC and databases. Proficiency with Microsoft Office including Word and Outlook.
