Job Description Summary
Oversee office related functions and provide support to all personnel. The selected candidate will be required to work in a team environment with other co-workers and managers.
This position reports to and works under the direction of the HR Manager
Answers incoming company calls in a professional manner, determines nature of business and directs callers to appropriate destination
Greet visitors in a professional manner and open door to visitors or deliveries, when needed
Receive and sign for delivered packages and notify recepients or deliver to recipients, if possible
Assist in administrative/clerical, in nature, type projects (scan sketches, orders, filing, etc. as needed)
Assists HR Manager with various projects, including coordinating orientation, office set-ups, events, etc
Manages office meeting calendars, distribution lists, and office mapping
Coordinate meetings and all related set-ups for managers, as requested
Ensure operation of office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Acts as the liaison with the building property management on office suite issues, building events, etc.
Acts as the liaison with building cleaning company to ensure proper cleanliness of building
Ensure a safe work environment in compliance with all safety policies and procedures using the appropriate tools and equipment for the task
Perform other duties as assigned
Work Requirements
Pass pre-employment drug screen and criminal background check
Must be able to provide valid documentation for the I-9 requirement
Display a professional and courteous attitude to co-workers, supervisors and the general public at all times
Report to work at the designated start time. Regular and predictable attendance at assigned times is required. Attendance is vital and key in this role.
Willingness to work in a team environment and assist co-workers or supervisors with other duties as required
Strictly adherence to safety requirements and procedures as outlined in the Employee Handbook
Have the willingness to work in a team environment and assist co-workers or supervisors with other duties as required
Must possess a valid driver's license with a good driving record
Ability and desire to maintain high level of confidentiality
Internal and external customer service oriented is required
Must be at least 18 years of age due to nature of working environment
Education/Experience
High School diploma or general education degree (GED) preferred
Related experience a plus
Bilingual a plus
Requires proficient use of printer, scanner, fax and copy machine, calculator, computer, writing instruments, switchboard telephone, postage machine, Microsoft Office Outlook, Excel, Word, PowerPoint and the ability to work with various software programs which support business functions.
