JOB SUMMARY:

As a Print Production Coordinator, you will primarily focus on production work but will also balance participation in special projects and training initiatives.  Primary responsibility will be to communicate statuses, monitor and handle production-realted functions of direct mail campaigns for multiple project simultaneously.  Knowledge of print, postal standards, as well as experience in a fast paced environment, is required.  Additionally, you will be expected to build relationships intra- and inter-departmentally in either a remote or onsite environment and act as a department representative.  You will play a vital role in the day-to-day operation of getting notices printed and mailed.

ESSENTIAL JOB FUNCTIONS:


  • Adhere to Noticing Service’s development workflows and processes.

  • Perform mailing tasks including but not limited to email campaigns, fax, inserting, folding, and printing.

  • Create mail merges and work with PDFs that will be sent to print Manage emails in a clear, concise, and timely manner.

  • Meet quality standards and appropriately escalate project roadblocks.

  • Respond quickly and efficiently to problems and questions concerning mailings.

  • Coordinate, organize and track initial and recurring mailings.

  • Attend discussions regarding client needs and requirements with various internal stakeholders.

  • Attend meetings and communicate as required to maintain an up-to-date knowledge base of current and future mailings.

  • Provide statistics and reports to internal and external clients

  • Determine the need to send a mailing or a portion of a mailing to various vendors for ink jetting, inserting, printing, folding, and mailing and coordinate with vendors or Vendor Manager

  • Complete monthly billing activities and purchase orders for supplies and services

  • Create purchase requisitions for certain supplies and services

  • Communicate with Clients regarding daily mailing request.

MINIMUM REQUIREMENTS:


  • Education: 2 to 4 years academic or practical work experience

  • Work Experience: 1 to 3 years hands-on experience with the following:

  • Windows platform

  • Microsoft Office

  • Adobe Acrobat

  • Mail merges

  • USPS standards and processes

  • Building relationships in a remote environment

  • Following regimented instructions while learning new software

  • Acting as a department consultant in interdepartmental meetings

  • Skills & Abilities:

  • Proven demonstrated ability to track complex details, work under a deadline, and maintain accuracy

  • Proven demonstrated ability with handling confidential/sensitive company information such as HIPAA or financial data

  • Proven demonstrated ability to communicate effectively, both verbally and in writing; able to adjust for the intended audience

  • Proven demonstrated ability to be organized, self-directed, self-pacing, with a high level of personal accountability

  • Proven demonstrated ability to follow-through, multi-task, and prioritize efficiently
